JOB OVERVIEW
The Executive Assistant is responsible for a wide-range of administrative functions and projects requiring the highest levels of accountability and confidentiality. The Executive Assistant provides scheduling, logistical, and administrative support, as well as makes a meaningful impact as a Brand Assistant, for the larger Milk Bar org. This position represents the organization in a professional manner at all times to staff, board members, the press, the general public, and others.
RESPONSIBILITIES
- Plans, manages, and executes special projects, as required, including research, team building events and initiatives, and creative tasks.
- Fully understand and exhibit the Milk Bar ethos, embodying our core values and inspiring celebration. Serve as a brand ambassador, both internally and externally.
- Support the CEO and President in all aspects of business operations at a dynamic, complex, and rapidly growing food business.
- Provides administrative support on complex or confidential matters including travel arrangements and related travel itineraries, agendas, research, pricing, expense reports, etc. in a timely manner.
- Manages office needs however minimal (office supplies, equipment, coffee, snacks) and oversees office cleanliness and upkeep. Sorts office mail. Improves/manages decor/furnishing as needed.
- Assists and coordinates with the PR/Brand/Marketing Team on ideation and execution in all channels, whether it’s an in-store giveaway, a Grocery sampling activation, a nationwide pop-up tour, etc.
- Acts as an extension of the Brand & Special Projects teams to execute on initiatives, support content shoots and lend onsite activation support.
- Maintains and gate-keeps an accurate calendar of meetings and other commitments and provides awareness of items that may require personal attention. Maintains internal and external contacts and other data.Assists them in preparation of materials that are used to communicate with stakeholders. Helps them prepare for key strategic meetings, presentations, and public appearances.
- Assists and coordinates with Content & Sp Projects Dir on all things content, strategy and special projects.
- Assist with company wide initiatives such as offsites, company calendar, etc- including logistics, catering, and gifts, including care packages.
SKILLS & REQUIREMENTS
- Passion for creativity and change
- Bachelor’s degree
- Organized, proactive, reliable, responsive, and calm under pressure. The position requires the ability to react in a dynamic, fast past environment.
- New York City/Brooklyn based. Position is in person.
- Experience in establishing priorities and meeting deadlines. Must be able to work in a fast- paced environment with demonstrated ability to juggle multiple competing tasks and demands and remain flexible as priorities arise.
- Interest in design, photo/video production editing
- Calm, creative problem solver
- Working knowledge of Google Suite - Calendar, Drive, Docs, Slides, etc
- 2-4 years experience in administrative support
