Job Description

The Senior Human Resources Coordinator will support and enhance the execution of HR strategies for the Company. This person will partner with all levels of the Company to maintain compliance and employment practices and ensure we are actively engaged with our team members to build a stronger company culture and operation. This role requires an individual to be highly organized and communicative with our business partners.


What Youll Be Doing

  • Coordinate virtual and in-office meetings, prepare agendas, flyers and email communication.
  • Provide high-level administrative support to field Area Directors, Managers, team and Corporate Human Resources leaders and corporate team members.
  • Manage, monitor, track and update HR records and processes using HRIS and ATS.
  • Partner with the risk management team and Area Directors to provide safety resources and support for all locations.
  • Prepare files for Requests for Records, Subpoena, or other related items; photocopy, scan, fax as needed.
  • Maintain annual HR event calendar.
  • Lead team member administrative transactions/processes such as hiring, rehiring, terminations, compliance training, leaves of absence tracking, filing workers compensation claims, file management.
  • Communicate with HR team members on inquiries that are determined to be urgent or of a sensitive or legalnature or may require additional support.
  • Keep up to date on all policies, practices and procedures to help manage compliance with all state and federal employment laws and regulations (e.g., FMLA, ADA, EEO and FLSA), make recommendations for improvement.
  • Listen and respond to team member inquiries, assist with VOE letters refer to The Work Number, direct team members to the proper resources, follow up and complete team member inquiries.
  • Run and evaluate background checks.
  • Participate and lead HR projects as directed by HR leaders.
  • Manage the performance appraisal process in the HRIS system, create, assign and track progress of annual performance appraisals.
  • Create, organize, plan HR Corporate team member culture events.
  • Maintain UI claim management, timely follow up with managers, case workers and state agencies to maintain compliance, provide leaders with analytics of UI claims, utilize knowledge to enhance termination process as it relates to UI claims management, prep and attend hearings.
  • Support the administrative process of the Companys benefit programs including the Open Enrollment process.
  • Manage and process for payment HR invoices, talentReef, GHH, WOTC, DIVVY card, etc.
  • Communicate with corporate vendors to maintain compliance boards for field, order posters, provide updates, work with field leaders to audit team member bulletin boards, track state compliance updates and add to state-by-state compliance logs.
  • Participate in insurance audits, gather data, respond to inquiries, prepare files for review and meet deadlines.
  • Respond to inquiries by state and local agencies re mandatory surveys, i.e., DOL Safety Surveys, OSHA, CA compliance surveys, state benefit audits etc.
  • Be a culture builder and ambassador for diversity and inclusion.

What We Are Looking For

  • Ability to take initiative and develop creative solutions to enhance current practices.
  • Experienced in Microsoft Office, Excel, Word, PPT, and HRIS, ATS
  • Thorough knowledge and understanding of and US employment law with significant exposure to California employment law
  • Thorough knowledge and understanding ofHR functions.
  • 3 years of Human Resources experiences in progressively senior roles, preferably in multi-unit hospitality or retail industry
  • Ability to work efficiently in a busy and changing environment.
  • Strong verbal, written and interpersonal communication skills, bi-lingual Spanish is highly preferred.
  • Ability to develop and maintain positive working relationships with employees at all levels.
  • Bachelor's degree or equivalent experience
