Job Description
OBXtek is currently staffing for a Senior Executive Administrative Assistant in the Army National Guard (ARNG) G4 Directorate.


The responsibilities include


  • Assist in the preparation of regularly scheduled reports.
  • Maintain contact lists.
  • Organize and schedule meetings and appointment for senior level staff.
  • Receive, sort, and distribute mail.
  • Maintain various staff records and provide reports to the ARNG G4 Executive Officer as required.
  • Monitor, distribute (in accordance with Executive Officer guidance), and follow up on task actions in the Task Management Tool (TMT) for the ARNG G4 Directorate.
  • Answers phone calls, schedules meetings, and provides customer service to visitors.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Ability to effectively and professionally communicate via phone and email ensuring all duties are completed accurately and delivered with high quality results and in a timely manner.
  • Collect the daily Personnel Status Report (PERSTAT) for the ARNG G4 staff.
  • Develop and maintain a filing system, both computer and manual.
  • Provide general support to visitors.
  • Provide information and assistance by answering questions and requests.
  • Produce and distribute correspondence memos, letters, faxes, and forms.
  • Responsible for confidential and time sensitive materials.
  • Familiarity with the Army National Guard or other military services, concepts, practices, and procedures.
  • Assist senior leaders with travel arrangements in the Defense Travel System (DTS).
  • Photocopy and print out documents on behalf of other staff.
  • Take accurate minutes of meetings.
  • Collect, consolidate, and maintain the ARNG G4 Civilian timesheets and leave forms; enter the approved data into the Defense Civilian Payroll System (DCPS).
  • Resolve various administrative problems.
  • Maintain the ARNG G4 Table of Distribution and Allowances (TDA) with supporting documentation.
  • Provides administrative support to ensure efficient operation of the ARNG G4.
  • Compile, review, and submit various staff inputs for the Executive Officer to review on a weekly basis.


Active DoD Secret Clearance.


Required Administrative Skills and Qualifications


Proven administrative assistant experience.


Knowledge of office management systems and procedures.


Excellent time management skills and ability to multi-task and prioritize work.


Attention to detail and problem solving skills.


Excellent written and verbal communication skills.


Strong organizational and planning skills.


Proficient in MS Office.


At least 7 years of experience in the field or in a related area.


EDUCATION


High school diploma or equivalent; college degree preferred.
