Position Summary

The purpose of this 100% remote position is to provide a variety of secretarial, administrative and office management support to our Prime Accounts Sales Team. Duties are more often non-routine. Administrative Assistants in this role rely on standard procedures, experience and judgment to perform their duties.

This position will be scheduled Monday - Friday, 8:00am to 4:30pm central time.

Job Responsibilities

  • Performs general office support functions such as ordering office supplies, copying and collating documents, distributing mail, answering phones, filing, and maintaining conference rooms.
  • Schedules meetings, notifies attendees, and makes necessary arrangements.
  • Coordinates travel arrangements.
  • May be the assigned forms, documentation, and/or records contact for the department.
  • May assist with preparation and analysis of budget and expense reports.
  • Maintains confidentiality of information related to clients/customers, vendors, and associates. Ensures documents and information are properly secured at all times.
  • Most Administrative Assistant positions have department-specific responsibilities that are unique to the area.
  • Prepares a variety of documents such as correspondence, forms, presentations, reports, and spreadsheets. Reviews for quality and makes adjustments as appropriate.
  • Serves as the main point of contact for the department. Provides procedural guidance and disseminates information inter- and intra-departmentally as directed.
  • May represent the department at meetings or in project groups.
  • Completes special assignments for department which may require collecting, organizing, and analyzing data and producing reports.

Qualifications

Education:

  • High School Graduate or General Education Degree (GED) Required

Experience:

  • Minimum of 7 years of combined administrative experience and relevant education.
  • Proficient with intermediate features of Word, Excel, PowerPoint, and Outlook.

Other Requirements:

  • Ability to multi-task and balance multiple/changing priorities.
  • Customer service orientation.
  • Interpersonal skills.
  • Intermediate math skills. Able to compile and analyze data.
  • Ability to work with sensitive information in a confidential manner.
  • Professionalism.
  • Strong organizational skills.
  • Advanced writing skills, focusing on content and readability, in addition to the basics. Able to compose original correspondence and meeting minutes.

Physical Requirements

Work is performed primarily in a standard office environment and involves operation of personal computer equipment for extended periods of time.
