We are currently looking for an Administrative Assistant with background in Mining, Chemicals, Salt business to join our Advisian team. Expectations of this role are to provide secretarial and administrative support to one or more senior management positions. Duties include performing routine clerical and administrative functions, as well as other non-routine assignments, with minimal supervision.


The selected candidate will have the opportunity to join a world class team and work in one of the largest brine beneficiation projects globally.


This is a full-time role with the opportunity to work out of several Advisian offices across North America depending on your location. As our ideal candidate for this dynamic and challenging role, your responsibilities will consist of the following tasks:


Overall Responsibilities And Key Accountabilities


  • May provide reception duties, directing incoming calls and visitors.
  • Distribution, maintenance of hard-copy and electronic filing for reports, forms and other files.
  • Coordinates meetings and logistical details for the project, department or business unit, including travel, off-site meetings and audio-visual requirements. May attend meetings, record minutes, coordinate catering requests, set-up and clean-up of boardrooms.
  • Organization and prioritization of assignments and taking initiative to follow through on pending items.
  • Making travel arrangements. Familiar with international travel management process.
  • Operation and maintenance of general office equipment may be responsible for replenishing of stationery and ordering general office supplies.
  • Performs administrative and secretarial duties for a discipline lead, manager, department, and/or business unit under moderate supervision and direction. May support a customer team.
  • Ability to support international team with flexible work hours.
  • Coordination of documentation (reports, correspondence, presentations, spreadsheets, etc.) including the preparation, formatting, approval and distribution.


Qualifications


  • Able to identify issues, problems, and opportunities; make timely decisions; develop appropriate and innovative solutions; and ask for assistance if required.
  • Detail oriented with high degree of accuracy, strong organizational skills, flexibility and adaptability.
  • Able to work effectively in small to large multi-disciplinary teams and share and transfer knowledge within teams.
  • Pro-active, goal oriented with excellent attention to detail.
  • Post-secondary education in Business Administration or a related field.
  • Able to work on multiple projects of various size and complexity.
  • Effectively manages change to work tasks and the work environment and assists others with adapting to change.
  • Previous administrative experience in a professional business environment.
  • Proficient written and verbal communication skills, including the ability to convey information and ideas to individuals and groups, and make presentations when required. Strong client service orientation.
  • Is aware of, adheres to, and supports all HSE policies and procedures.
  • 10 years of administrative/clerical experience.
  • Proficient with several software applications particularly MS Office including Word, Excel, PowerPoint, Outlook, Visio, SharePoint. Ability to learn and use other common business applications.
