The Office of Investigations department within the Division of Fraud Deterrence and Compliance Monitoring is looking for an Administrative Assistant IV. This position is based in Austin on the north lawn of the Texas state capitol. Please note, this position has a weekly in-office requirement. The selected candidate is expected to work part-time in office weekly.
You must be a Texas resident to work for the Texas Workforce Commission or willing to relocate to Texas.
Who You Are
An Administrative Assistant IV will have exceptional organizational skills, able to work on multiple projects concurrently while meeting all deadlines, be detail-oriented, work well individually as well as part of a team and have a strong working knowledge of Microsoft Office products.
What You Will Do
The Administrative Assistant IV performs advanced (senior-level) administrative support work. Work involves providing and coordinating internal administrative support including disseminating information, developing filing systems, and preparing and editing reports and documents. May provide guidance to others. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment.
You Will Be Trusted To
  • Maintain department equipment inventory.
  • May train staff in administrative duties.
  • May contact complainants to clarify complaints and verify receiving complaint
  • Perform advanced administrative support or technical program assistance work in the Office of Investigations department.
  • Open, review, and distribute incoming mail and fax communications.
  • Log returned mail in the UI Benefits system.
  • Schedule and coordinates management team meetings.
  • Maintain or may develop filing and records system.
  • Handle new employee preparation within the department.
  • Perform other duties as assigned.
  • Make purchase requests.
  • Maintain Records Management Center for the department.
  • Prepare or may coordinate the preparation of records, correspondence, and reports to management.
  • Perform or coordinate general office duties such as ordering and maintaining supplies, requesting printer maintenance, greeting visitors and new employees, and scheduling interviews for the department.
You Qualify With
  • Fifteen semester hours of accredited college work may be substituted for six months of experience.
  • Graduation from an accredited high school or successful completion of GED certification, plus three years of full-time experience that provided knowledge of administrative support functions and office practices and procedures, or clerical administration and business management practices, such as preparation, maintenance and control of forms, records and reports.
