Job Description
Overview / Responsibilities


/ Duties / Responsibilities:


  • Requires an understanding of the content of the manager’s job and method of operation as well as knowledge of departmental operations and procedures.
  • Processing of Invoices in VIM System and Troubleshooting to resolve any issues keeping the invoices from being processed.
  • Performs full clerical, administrative and general office duties involving transcription, typing, record and file maintenance and data entry.
  • Providing Backup Support for creation and closure of capital projects.
  • Providing Backup Support for processing of time entry and payroll.
  • Support in collecting information and data for reporting.
  • Exhibit exceptional safety behavior meeting or exceed the company and customer safety standards.
  • Work exceptionally with peers, project managers and various team members.
  • Responsible for creating All Purchase Requisitions for Engineering Projects and assist with creation of other Departmental Requisitions.
  • Populates templates and creates documents.
  • Organizes and maintains files relating to correspondence, records etc. and follows up pending matters.


Skills / Qualifications


Skills / Qualifications:


  • Must be able to follow instructions and not deviate from advised instructions.
  • Must be a team player and assist as needed even if requests are out of normal job duties.
  • Minimum of 3 - 5 years of Project Administrative Assistant experience in the Petrochemical industry or like.
  • Ability to be trained and learn client Project Financial tools; AR (Authorization Request) Tool, various spreadsheets, others.
  • Must be flexible as priorities can and will change.
  • Ability to communicate clearly and concisely both orally and written.
  • Ability to work with minimal supervision and effectively handle multiple projects and/or changing priorities.
  • Attention to details.
  • Excellent verbal and written communications skills.
  • Strong computer skills - SAP, Microsoft Office Products, to include Word and Excel.
  • Assist in own department as well as other departments.
