Job Description
What You’ll Do


Global Virtual Engineering (GVE) Americas is seeking [ Project Manager/Project Specialist] to work closely with Americas Director. You will provide support for administrative functions such as calendaring, travel, and expenses, along with management and oversight of special projects as needed. In addition, you will act as a primary liaison to global and broader organizational communications, including executive communications for the Americas Director. You will work effectively with cross-functional teams, while aligning to the leadership team’s initiatives.


To perform these tasks effectively, you will be expected to become familiar with the products, people, and organizational dynamics within Cisco's Sales team. You will be expected to understand how to handle, with a great degree of independence, incoming asks for time, meetings, resources and other needs from the Director, and senior leaders in his team. You will be responsible for determining when to refer matters to others, and to whom they should be referred. You will be responsible for following up to ensure proper disposition, and make sure nothing falls through the cracks. You will become a core member of the Director’s team, attending regular team calls and occasional offsite meetings.


Core responsibilities include:


  • Ensure and maintain great communication with internal and external customers, prospects, partners, and vendors supporting strategic events/initiatives while exhibiting the highest degree of professionalism.
  • Own/maintain various avenues for communication and collaboration, such as SharePoint sites and Webex spaces.
  • Create communications for Director, including org announcements, quarterly messages, and other formal communications as requested.
  • Utilize knowledge of Cisco policies and processes to advise course of action and ensure compliance, as needed.
  • Take ownership of logistics of special events such as quarterly All Hands (virtual) and live offsites.
  • Support the Director by acting as proxy for communications and approvals as authorized. Answer general questions as necessary and refer routine matters to appropriate parties and follow up to ensure proper disposition.
  • Drive strategic cross-functional projects, meetings, and commitments through organized project management.
  • Manage the Director’s calendar by prioritizing schedules and meetings. Prepare and review materials and correspondence for meetings.
  • Make travel arrangements for the Director. Carefully consider and decide the optimum travel arrangements and itinerary for calendared meetings while managing Cisco expenses; Prepare and review materials and correspondence for meetings.
  • Collaborate and coordinate activities with other administrators and executives in Cisco. Work is generally of a critical and confidential nature.
  • Focused and aligned on priorities through communication creation, process and execution, staying true to team culture and brand.
  • Contribute to positive and inclusive culture of team.
  • Support the Americas Leadership team and coordinate all aspects of executive-level manager appointments, meetings, receptions, and conference calls.

Who You Are


Minimum Qualifications for this role:


  • Advanced knowledge of desktop computer applications: Outlook, PowerPoint, Excel, and Word
  • Exceptional verbal and written communication skills, including the ability to communicate with all levels of Executive/Senior staff and clients.
  • Direct experience managing projects from conception to completion.
  • 6+ years' experience in an administrative environment, with minimum of 2 years of experience supporting a principal who was at the Director level and above.
  • Great attention to detail and the maturity to handle confidential information with discretion.


Desired Skills


  • Past work experience in the high-tech industry is desired; prior Cisco experience is preferred.
  • Ability to work independently and balance multiple priorities in an often fast-paced environment.
  • Advanced desktop calendar management program experience.
  • Experience creating/maintaining SharePoint sites (or similar).
  • Past work experience in writing/editing compelling communications.
  • Collaborative style, with excellent teamwork.
