We are seeking a dedicated and detail-oriented Appointment Scheduling Coordinator to join our team in the healthcare industry. Responsibilities
Efficient Appointment Management: Oversee and maintain the clinic's appointment scheduling system, guaranteeing a smooth and efficient booking process for patients and caregivers.
Personalized Therapy Scheduling: Coordinate and arrange therapy sessions for pediatric patients, aligning their needs with therapists' availability and treatment plans.
Effective Communication: Engage in clear communication with therapists, patients, and caregivers to confirm appointments, share essential information, and handle any necessary scheduling adjustments or cancellations.
Adaptable Scheduling: Prioritize urgent cases and make flexible adjustments to accommodate unexpected scheduling demands, ensuring that every patient receives timely care.
Digital Records Management: Utilize electronic health records (EHR) and other clinic management software to accurately update patient information while maintaining strict confidentiality.
Collaborative Enhancement: Collaborate with our administrative team to streamline administrative processes, contributing to an elevated patient experience.
Exceptional Customer Service: Deliver exceptional customer service by promptly responding to inquiries, resolving issues, and addressing concerns with empathy and professionalism.
Waiting List Management: Monitor and oversee the waiting list for patients seeking appointments, ensuring that access to therapy services remains efficient and patient-centric.
Billing and Insurance Support: Provide assistance with the billing and insurance verification processes as needed, contributing to the seamless financial aspects of our services.
Requirements
Availability: Be available to work full-time, Monday through Friday, from 8:00 am to 5:00 pm.
Experience: Previous experience as a medical scheduler is preferred, especially in a pediatric setting.
Medical Familiarity: Familiarity with medical terminology and a solid understanding of the healthcare industry.
Technological Proficiency: Proficient computer skills, including experience with scheduling software and electronic health records (EHR) systems.
Effective Communication: Excellent verbal and written communication skills to interact with clients, caregivers, and therapists professionally.
Organizational Skills: Strong organizational abilities to manage multiple tasks concurrently and maintain meticulous patient records and scheduling information.
Empathetic Approach: Demonstrate an empathetic and patient-oriented attitude when delivering exceptional customer service.
Collaborative Nature: Ability to work both independently and collaboratively as part of a remote team, ensuring seamless virtual operations.
Technical Requirements: Possess a reliable high-speed internet connection and a suitable workspace to support efficient remote work.
Flexibility: Flexibility with working hours to accommodate occasional variations in client scheduling needs.
Eligibility: Must be eligible to work in the United States.
