Role Description:
The Executive Assistant will provide high-level administrative support to the Co-President of Film. This is a demanding position at a fast-paced film and television studio, and this role requires use of good judgement, a high level of organization, flexibility, and discretion. Although this position would work closely with creative development, it focuses mainly on the business and marketing distribution side of film.
Responsibilities:
- Act as gatekeeper and ensure timely and efficient day-to-day running of the office
- Book and coordinate business related travel on behalf of Co-President as needed
- Anticipate the business and personal needs of Co-President, relying on experience and judgement to plan and accomplish tasks
- Provide executive level administrative support including heavy calendar management, which consists of booking conference rooms, sending out meeting invites, and tracking/ranking appointment requests by priority and deadlines
- Serve as the administrative liaison with internal team members
- Additional responsibilities may be assigned based on Co-President’s and departmental needs
- Manage Co-President’s incoming and outgoing calls, and the phone sheet overall
- Develop a rapport and sustain a level of professionalism among all staff and external parties
- Manage Concur and expense reports
- Fulfill ad hoc requests including but not limited to note taking, research, and editing documents
Experience and Qualifications:
- Must be detail oriented, with an ability to multi-task
- Uphold a strict level of confidentiality
- Must have interest in the business and/or marketing and distribution side of film
- Develop and sustain a level of professionalism among staff and clientele
- Must have 1-2 years of agency, management, production company, or other relevant desk experience
- Must be able to adapt in a fast-paced, high-pressure work environment
- Experience managing heavy phones and scheduling
- 2+ years of relevant entertainment experience
Salary Range:
$40,000.00/Year - $43,000.00/Year
