Job Description
ABOUT THE SPRINGHILL COMPANY:

We create every form of content- scripted and unscripted film and television, social media, experiential and audio. We are developing original consumer products and we partner with large brands on their consumer strategies.

ROLE OVERVIEW:
We are looking for a high-performing and self-motivated individual to join our team as the Executive Assistant to the President. The ideal candidate will provide around-the-clock administrative support. This position plays a critically important role in facilitating high-touch professional and personal assistance across the day-to-day planning, scheduling, and operations. This person will perform confidential administrative and logistical functions. You will manage the President’s daily calendar, including scheduling meetings, confirming appointments, filing expense reports, writing itineraries, making reservations, and arranging travel and transportation.

The ideal candidate is an experienced problem solver, an innovative thinker, and always thinking two steps ahead, with a proven track record of being proactive and getting things done. Given where this role sits within the organization, success is dependent upon the candidate’s ability to maintain a positive, high-energy, calm, and confident demeanor, while juggling high-volume and highly sensitive tasks. This person must also be able to navigate very confidential situations and provide a supreme level of professionalism and attention to detail across all internal and external teams, partners, and company touchpoints.

REPORTS TO:
President, TSHC

RESPONSIBILITIES:

  • Applies a keen understanding of the business to expertly compose confidential correspondences ensuring proper and timely follow-ups are always maintained
  • Operates in an extremely fast-paced and high-volume environment
  • Create and disseminate meeting agendas, sit in on meetings to take notes, and drive follow-up on action items from meeting participants
  • Provides flexible and on-call support by text/cell/email to the President on weekdays and weekends
  • Provides high-level administrative support utilizing in-depth knowledge of company operations, policies, departments, and individuals
  • Develops a strong knowledge of the President’s contacts, identifies how they fit into TSHC vision and/or the President’s project priorities, and cultivates relationships that benefit The SpringHill Company and the President
  • Handles a broad range of team duties including day-to-day management of team calendar items, team meetings, and team spreadsheets
  • Proactively manages and schedules against an extremely active and constantly changing business and personal calendar of appointments, which includes arranging complex and detailed travel plans and itineraries, coordinating meetings and event confirmations
  • Exhibits calm confidence and ability to correspond and coordinate with Senior Executive offices while remaining calm under pressure
  • Actively seeks ways to increase efficiencies
  • Drives monthly financial reconciliation of the President’s expenses with the Finance Department
  • Over time, mentors other Executive Administrative Assistants across the organization on operational procedures, policies, and inter-company team workflow, as need be

QUALIFICATIONS:

  • 4+ years of experience as an Administrative and/or Executive Assistant at the C-Suite level
  • Bachelor’s degree preferred
  • Flexibility and the ability to perform effectively under stress and meet deadlines
  • A strong track record of unwavering loyalty and ability to maintain confidentiality
  • Attention to detail with a high degree of accuracy
  • A tech-savvy individual who is confident in operating various types of personal and professional tech equipment
  • An established track record of outstanding judgment in fast-paced, high-profile environments, particularly in dealing with time-sensitive, confidential, and/or controversial matters
  • Must be impeccably detail oriented with an obsession for punctuality
  • Self-Starter who knows how to thrive in a fast-paced/multi-faceted environment
  • Advanced computer and program skills including building Excel spreadsheets, creating as well as familiarity with G-Suite programs and offerings
  • Excellent interpersonal, organizational, communication (both written & verbal), relational, and presentation skills
  • A high integrity level and a passion for helping others
