We are currently seeking an Executive Assistant to support the CEO of a jury consulting firm, located in Brentwood, CA. While this position mainly supports the CEO, there are expectations of assisting other members of the management team as well with administrative tasks. Ideal candidates will have 3-5+ years of experience working within the business sector as an EA, preferably at large/notable companies. Must be professional, highly organized, and be able to prioritize tasks accordingly.
Responsibilities are (but not limited to):
- Field calls, emails, and other communications promptly and professionally.
- Handle mail distribution and assist with deposit processes.
- Maintain office supplies/handle inventory and ensure a well-organized work environment.
- Collaborate with other team members to support smooth day-to-day operations.
- Travel and Expense Coordination:
- Book travel arrangements for the CEO, including flights, accommodations, and ground transportation.
- Manage and process expense reports for senior consultants, including the President, Managing Director, Research Director, and VP.
- Ensure compliance with company travel and expense policies.
- Optimize travel arrangements to maximize cost-effectiveness and minimize disruptions.
- Execute special projects assigned by senior management, such as client gifts during holidays, planning events, etc.
- Coordinate with external vendors, ensuring timely delivery and exceptional quality.
- Maintain relationships with service providers and negotiate favorable terms when necessary.
- Ad-hoc office projects
Requirements:
- Proven experience as an administrative assistant or similar role.
- Strong organizational and time management skills.
- Excellent attention to detail and problem-solving abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Effective communication skills, both written and verbal.
- Ability to work independently and prioritize tasks effectively.
- Initiative and ability to take ownership of assigned responsibilities.
Schedule: Monday-Friday, with a start time of 8:30am. After-hours availability may be required to support the CEO.
Pay: $80,000-$100,000 DOE + benefits.
Location: Brentwood, CA. This is a fully onsite position, M-F.
