Executive Assistant – Human Resources – fully in-office


Direct Hire; up to 90K + bonus


Downtown Houston


Duties


  • Create and maintain benefit and master agreement files
  • Coordinate, ensure accuracy, and submit information for the monthly meetings, newsletters, and presentations; distribute HR correspondence and mail
  • Maintain office supplies, ensure maintenance of supply room office equipment, reorders business cards for HR department, inventory of logo merchandise, and act as point of contact for parking validation
  • Provide overall HR office management and support for SVP, HR Specialists, and HR team
  • Set-up and coordinate department staff meetings including preparation of materials, monthly celebrations and cards, and planning department celebrations
  • Organize meetings, off-site conferences, training events, and coordinate logistics; make travel arrangements and create itineraries; support expense reporting process and P-Card expenditures
  • Create and update forms, type correspondence and handbooks, create spreadsheets and PowerPoint slides, and generate mass mailings
  • Prepare management reports (org charts, headcount, turnover, new hires/terminations)
  • Assist with administering service award program and organizing special events
  • Support with feedback program and succession planning activities; manage training attendance and events; provide direction to interns and Co-op
  • Maintain photo files and photo files in performance management system


Qualifications


  • Relationship builder focused on exemplary customer service; strong presentation and professionalism; excellent written and verbal communication
  • 5-8 years of progressively responsible administrative experience
  • Bachelor’s degree highly preferred; Associate’s degree required
  • Skills in problem solving, organization, prioritization, and
  • Advanced Microsoft Office; Access and Workday preferred
  • HR, oil & gas (highly preferred), and private company experience preferred
