The Television Academy, based in the NoHo Arts District in North Hollywood, California, is a nonprofit organization devoted to celebrating and empowering storytellers to push the boundaries of what Television can be. The only major organization fully representing the television and broadband screen entertainment industry, it is made up of nearly 20,000 members, representing 31 professional peer groups, including performers, directors, producers, art directors and various other artisans, technicians and executives.
The Television Academy recognizes excellence among its peers with the Emmy award, culminating in the Primetime Emmy Awards telecast each fall. Position is full-time, exempt, salary range $25/hour - $27/hour depending on experience, hybrid (3 days in office currently; subject to change)
Summary of Position
The Event Production Coordinator supports all aspects of the various events that the department produces and assists with the booking process for FYC and third-party rental events. Additionally, this role is also responsible for supporting the SVP Event Production and all other Event Production Staff on various event related duties. The role will coordinate many aspects of pre-production for Academy wide Activities and Peer Group Activities. This role supports and coordinates logistics associated with the overall Emmy logistics and Nominee Receptions throughout Emmy season. These duties include but are not limited to venue logistics associated with the events as well as the invitation process, email blasts, management of the RSVP lists, production meeting schedules, coordination and communication with vendors and processing invoices and assisting in the reconciliation of event budgets. The Coordinator will support the development of year-round events and will assist where needed on other events and activities. This role will be expected to interact and communicate effectively with internal and cross functional teams including the creative process, coordination of facilities deliverables for load in, event day and load out.
This role will be expected to interact with resources from other Academy departments including Marketing, Membership, Awards and Operations and with the Academy Foundation. This role requires flexibility, a strong customer service focus and attention to detail.
Duties and Responsibilities
- Support the process of booking films for Academy Screening Room program
- Manage VIP lists, VIP seating and VIP parking and signage
- Provide support and assistance as needed for all other events generated through the Event Production Department
- Assist with event reconciliation including but not limited to invoice tracking, budget updating, and all functions associated with event close out
- Communicate event needs to Facilities and Day Porters
- Communicate and confirm details with registration staff and assist with event check-in
- Coordinate with various event vendors regarding logistics
- Print and distribute materials for production meeting
- Upload event RSVP lists to the iPads
- Coordinate scheduling of production meetings
- Manage RSVP list & monitor Events email
- Tracking of Design Services requests and follow up with marketing
- Assist with the booking process for Academy and third-party events
- Assist with tracking / management of talent / clip releases
Minimum Requirements
- Basic understanding of developing budgets and production timelines
- Must be available to work nights and weekends
- Bachelor's degree or equivalency in directly related experience
- Minimum 2-4 years of related experience
- Ability to establish relationships and able to follow through on commitments and decisions
- Strong customer service skills and focus on details
- Ability to think strategically, conceptually and creatively
- Excellent communication skills and possesses a strong ability to work with various teams of vendors and or internal departmental teams
- Computer proficient, including Excel, Word, PowerPoint
