The Events Coordinator is under the Events Department of the Chamber and reports to the Director of Events. The Events Coordinator is responsible for supporting the planning and execution of all Chamber events. This position will serve as a support role on all events including logistics, vendor management, production, and end-to-end event planning and execution.
The Chamber’s broad portfolio of events highlight our year-round work and impact in the region to include fundraising events, community-centered networking events and conferences, and strategic partner stewardship and engagement events.
The Events Coordinator should have a passion for creating innovative and engaging event experiences that exceed the expectations of our participants and sponsors; exemplify strong project management skills and attention to detail; and enjoy a team environment and collaboration with a broad range of internal and external partners.
Responsibilities:
Project Management
·Support the organization and execution of assigned Chamber event logistics
·Develop, review, and implement plans, production schedules, and run of shows for events
·Responsible for researching and communicating with vendors, including venues, caterers, hotels, airlines, production, décor, and suppliers
·Support with sponsor activation and deliverables
·Assist with drafting, proofing, and reviewing marketing materials
·Establish staffing requirements and overall support for events and manage part-time event staff and volunteers
·Work with all departments to deliver events that exceed the Chamber standards
Administrative
·Manage event registration process (online registration, name tags, on-site check-in)
·Manage both the internal and external events calendar
·Maintain event supply inventory and create supply check lists for all events
·Maintain preferred vendor list
·Respond to event inquiries in a timely manner
·Schedule internal and external meetings
General
·Demonstrates a commitment to the Chamber mission
·Review Chamber website and event materials to proof content and provide updates
·Performs other duties as assigned
Requirements
·Bachelor’s degree
·Minimum one (1) year of experience in managing events
·Strong project coordination, logistic, and interpersonal, skills
·Excellent verbal and written communication skills
·Strong event technology skills (Zoom and Cvent preferred)
·Strong knowledge of Microsoft Office suite (Excel, Word, PowerPoint and Outlook)
·Self-motivated, organized, and detail-oriented is a must
·Flexible problem-solver with positive demeanor
·Proven to provide excellent customer service and be a team player
·Seek out innovative, creative, and modern ways to represent the Chamber brand and impact
·Ability to juggle multiple projects under deadlines
·Ability to work occasional evenings and weekends as needed
Preferred
·Project management tools (Asana, Cvent, Machform, Zoom, etc.)
·CRM experience (Salesforce preferred)
Supervisory Responsibility
This position has no supervisory responsibilities.
