Senior Executive Administrative Business Partner
The Position
Our Client is seeking an Executive Administrative Business Partner is a newly created full-time role, supporting the Office of the CEO and managed by the SVP, Corporate Planning. This role contributes to the success and efficiency of their organization by providing structured, personalized, and timely administrative structure and support to our CEO and associated executive structure, the Executive Leadership Team (ELT). The successful incumbent will have significant impact on the office of the CEO, our broader employee population, and the organization by managing a variety of administrative initiatives and simultaneous projects, while using exceptional organizational and analytical skills. Diplomacy and discretion, along with the ability to communicate effectively with everyone internally and externally, will enable this role to serve as a cultural ambassador inside and outside of the company.
Job Responsibilities
· Manage complex CEO and ELT programmatic and overall corporate calendars – structure, access, and hygiene/rules of engagement.
· Provide comprehensive meeting management, including agenda preparation, logistics, preparing meeting minutes, and other items to ensure successful and efficient meetings and follow-ups take place.
· Prepare and coordinate with other key meeting contributors to ensure the CEO has required and preferred documentation prior to meetings, ensuring the CEO has all necessary information to be prepared for the meeting.
· Working with the SVP, Corporate Planning, the Communications team, and ELT leaders as relevant, lead the administrative calendaring of and planning for CEO aspect of quarterly all-hands, leadership meetings, employee roundtables, external events, Board of Directors (BOD) meetings and other key enterprise/corporate events as appropriate.
· Prepare reports and presentations as required for CEO-led meetings.
· Maintain BOD related calendaring, including Audit Committee and Compensation Committee schedules.
· Where appropriate, serve as an extension of the CEO, reviewing e-mails, researching, and managing escalations for resolution, flagging urgent matters, etc.
· Manage and handle highly sensitive and confidential information, navigating sensitive issues with both internal and external parties.
Skills and Qualifications
· A bachelor’s degree (or equivalent experience)
· 7+ years of experience supporting a C-suite executive and executive leadership team in a fast-paced and demanding corporate work environment.
- Strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting, and competing priorities with minimal direction.
· Able to develop a deep understanding of the company/CEO’s priorities and knowledge of key stakeholders, with ability to proactively address issues with little direction.
· Strong analytical capabilities; budget management experience ideal.
· Demonstrates professional presence and inspires confidence with key stakeholders. Demonstrated ability to build a strong rapport with high-level internal and external stakeholders, managing communications on a variety of inquiries and requests.
· Able to address problems and develop practical, thorough, and creative solutions without relying on precedent or supervisory review.
· Skilled at preparing presentations that convey and summarize a concise narrative, integrating financials and outcome.
· Excellent judgment with the ability to make critical decisions independently.
· High level of maturity and works well under pressure.
· Demonstrates strong initiative, positive energy, and ability to exercise sound judgment and discretion. Good sense of humor and “go with the flow” attitude.
· Demonstrated ability to look for ways to improve processes to increase efficiency and effectiveness.
· Technologically savvy with the ability to quickly acclimate to new applications and tools; proficiency with the full Microsoft suite.
· Exceptional attention to detail and commitment to flawless execution on tasks, without compromising speed.
· Capacity to navigate, digest, and make decisions amidst uncertainty.
· Committed to collaboration and teamwork, with strong interpersonal skills.
- Ability to be available as needed for support outside normal working hours (including some evenings and weekends)
· The position will be based in Long Island City, NY and expected to work from the company’s headquarters on most workdays
