Our client is an emerging wealth management division of a well-known investment/family office group, seeking to hire a resourceful and versatile Office Manager/Executive Assistant to join their NYC team. The ideal candidate possesses executive presence, acting as a highly motivated and poised administrative professional who thrives in a bustling environment of diverse duties. They take pleasure in being a key contributor to the team's growth and success.
Responsibilities of the Office Manager/Executive Assistant:
- Manage additional administrative tasks to ensure efficient office and team management.
- Provide administrative support to a team of 4-5 senior executives, including managing schedules, making travel arrangements, tracking expenses, scheduling meetings, and handling personal assistant duties.
- Assist in the preparation of client presentations, meeting materials, and collateral.
- Maintain up-to-date client and project files, while assisting and coordinating ad hoc projects to foster division growth.
- Safeguard the privacy of the team and client confidential information.
- Interact with high-net-worth clients as needed.
Qualifications of the Office Manager/Executive Assistant:
- Capable of working well independently, displaying sound judgment, and maintaining strict confidentiality.
- Possess a creative, proactive, and resourceful mindset, and enjoys embracing diverse duties, projects, and problem-solving.
- Strong written and verbal communication skills, with executive presence.
- Proficiency in Microsoft Office Suite, including Excel and Word. PowerPoint is a plus.
- Proficiency in calendaring, expense management, and travel booking.
- Experience organizing offsites and conferences is a plus
- 5 or more years of administrative experience, office management, executive assistant, or related support roles.
- Collaborative and enthusiastic, showcasing a genuine passion for your work.
