Job Description
The Stanford University Graduate School of Education (GSE) is a top-ranked school of education, known for its prestigious faculty, rigorous graduate degree programs, and its impact on the quality of education across the world. This individual will serve as a key member of the Graduate School of Education Finance and Research Administration Team. This individual will support faculty sponsored research as well as finance activities related to the school and its associated centers.
Position Summary
Manage the proposal preparation and/or post award activities on grants, contracts, program projects, and federal grants, both routine and complex. Perform finance functions and/or activities requiring advanced knowledge and application of internal policies, external regulations, precedents, and systems.
Your Primary Responsibilities Will Include
Research Administration
  • Understand, apply, and advise on university and government policies for projects.
  • Serve as a resource on subject area and overall technical resource to principal investigator and other university staff.
  • Collaborate with Office of Sponsored Research to ensure awards are set up properly and cost-sharing requirements are fulfilled; initiate cost transfers.
  • Serve as liaison and active partner between principal investigators, Office of Sponsored Research, research groups, and other departments; respond to sponsor inquiries.
  • Develop and communicate reports supporting project status; create effective forecasting and decision aides.
  • Develop, prepare, and finalize project budgets, and provide budget justification.
  • May participate as a mentor and provide cross-training as needed, may cover for other research/finance administrators as needed.
  • Review and approve expenditures, advise on post award spending and commitment activity, and oversee compliance related to fund and revenue.
  • Participate with principal investigator in the preparation of the administrative components of proposals within parameters of sponsored and non-sponsored research guidelines. Oversee and communicate submission process, both paper and electronic; review documents for completeness and compliance.
  • Participate in and contribute to process improvements. Lead other staff in group projects.
To Be Successful In This Position, You Will Bring
  • Knowledge of procurement needs, including sole-sourcing, cost analyses, vendor requirements, and small business reporting.
  • Ability to review a proposal or manage a project with understanding of the overall scope and goal of each sponsored project.
  • Extreme attention to detail.
  • Bachelor's degree and three years of job-related experience, or combination of education and relevant experience.
  • Ability to complete Cardinal Curriculum I and II within first year in role.
  • Knowledge of property management requirements related to Stanford or non-Stanford title of equipment and fabrications.
  • Basic knowledge of governmental regulations.
  • Ability to work well independently, but also to seek or offer assistance when needed.
  • Excellent time management and organizational skills.
  • Excellent analytical skills; demonstrated proficiency in Excel and web-based tools.
  • Competency in project management.
  • Ability to understand, interpret, and communicate policies and procedures.
  • Strong accounting skills; knowledge of accounting principles.
  • Excellent oral, written, and communication skills.
Certifications And Licenses
  • Cardinal Curriculum I and II must be completed to remain in this position.
  • Certified Accountant or Auditor or similar credential desired.
Additional Duties Will Include
Finance
  • Review and manage service agreement submissions.
  • Respond to questions from GSE community members regarding Stanford finance policies and procedures.
  • Perform and design adhoc analyses of large complex data sets; reconcile complex accounts.
  • Develop and maintain desktop procedures and process documentation for area of responsibility.
  • Construct and assemble data for budgeting and decision making; develop conclusions, and present high level summary of recommendations. May develop annual budget for individual department/unit.
  • Support regular reporting and auditing.
  • Review and approve transactions (credit card purchases, expense requests, journals, and fund transfers) to ensure compliance with Stanford business expense policies.
  • Participate as a member of a project team; support new initiatives.
  • Manage labor schedules and process labor distribution adjustments.
The expected pay range for this position is $80,000 to $108,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
