Lawrence Berkeley National Lab’s (LBNL) Energy Storage and Distributed Resources Division (ESDR) has an opening for an Administrator to join the team.
The Administrator will provide high-level professional service to the Principal Investigators (PI) and staff in the ESDR Division and serve as backup to the balance of the Administrative team. Provide a high-level of independent judgment, initiative, and discretion and use initiative and creativity to address complex issues and problems and to identify solutions that meet Division management needs. The Administrator will be responsible for supporting the division through independent planning, organization, prioritization and timely execution of tasks as well as will apply professional standards and Berkeley Lab policies to meet key programmatic and administrative needs of scientific staff.
What You Will Do:
- Assist in evaluating/updating content for division and research group websites, and assist with special projects and process improvement, as needed.
- Exercise discretion and independent judgment to interact effectively and at a high level of professionalism with a variety of individuals from various levels across the organization and external stakeholders.
- Utilize a variety of LBNL systems and Google apps; process travel requests and expense reports, submit requisitions, maintain CRM databases and develop tools for Division use.
- Interact with other Berkeley Lab departments to secure and coordinate Laboratory support and services for ESDR.
- Ensure that solutions are compliant with Area, Division and Laboratory policy.Coordinate and manage all aspects of high-level meetings, visits and seminars for the division, including audio/visual arrangements, agenda, event approval, and food service.
- When necessary, assist ESDR Admin team members in coordinating high-level meetings and visits, and seminars.
- Utilize procedures, resources and provide recommendations for moderately difficult to complex tasks to meet administrative needs of the division's Principal Investigators (PIs).
- Monitor administrative aspects of intra-university transactions (IUTs) to obtain services from UCB facilities to support research groups. Understand Senior Staff Members’ operations, priorities, and responsibilities and use independent judgment to help support the Sr. Administrator and Administrative staff.
- Assist scientific staff with coordination of proposal materials, interfacing with Area Pre-Award analysts and the ETA Program Development Office.
- Utilize specialized knowledge of operations concepts and practices to develop, organize, collect, and synthesize content for highly professional and technical and presentation material, scientific reports, and publications, ensuring documents meet DOE, Berkeley Lab, and other requirements.
What is Required:
- Demonstrated initiative and excellent judgment in exercising discretion to interact effectively with a variety of individuals and organizations.
- Excellent written and verbal communications skills.
- Substantial and comprehensive knowledge and experience using Microsoft Office Suite (Word, Excel, PowerPoint), Google applications, and video conferencing systems (e.g. Zoom).
- Demonstrated ability to take initiative, assume responsibility and remain flexible in a fast-paced
- Demonstrated experience and flexibility as a team player, as well as in leading a team.
- Demonstrated ability to anticipate and identify service needs and independently develop solutions.
- Environment with competing priorities.
- Minimum of zero to four years experience or an equivalent combination of directly related experience independently providing support to a large or complex group.
- Demonstrated skills in meeting and event coordination, tracking and data management, organization and preparation of meeting materials and reports.
- Valid CA driver's license.
Desired Qualifications:
- Knowledge of DOE, UC and Division policies, procedures and systems.
- Experience with working in a research environment.
- BA/BS Degree

- The full salary range for this position is $76,812.00- $93,888.00. The budgeted salary range that the Lab reasonably expects to pay for this position is $81,941.76 - $90,477.36. Salary offers will be commensurate with the final candidate’s qualification and experience, including skills, knowledge, relevant education, and certifications, and also aligned with the internal peer group.
- This is a full-time, career appointment, exempt (monthly paid) from overtime pay.
