The Office Services Manager role, located in Austin, Texas reports to the Senior Manager, Facilities and Security and is a member of the Talent and Facilities team. This role will act as the primary point of contact for Facilities needs at our HQ location, managing 1 team member, and is responsible for overseeing and managing the day-to-day operations of the site, ensuring that it runs smoothly and efficiently. The Office Services Manager will be responsible for providing operational, customer service and hospitality support for our employees, office guests, and onsite events (internal or external).

Responsibilities:
- On-site event management: Being present during events to oversee the setup, execution, and breakdown phases. This includes managing event staff, troubleshooting any issues that may arise, and ensuring a positive experience for attendees.
- Facility Management: Managing and maintaining the physical office space, including coordinating repairs and maintenance, ensuring a safe and comfortable working environment.
- Health and Safety Compliance: Ensuring compliance with health and safety regulations at Austin HQ, in partnership with Safety Specialist, and implementing appropriate measures to maintain a safe working environment.
- Post-event evaluation and reporting: Collecting feedback from attendees, analyzing event success metrics, and preparing post-event reports to evaluate the effectiveness of the event and identify areas for improvement.
- Team Management: Supervising and leading a Facilities team member, providing guidance, on-the-job training, and support as needed.
- Space Planning and Allocation: Optimizing office space utilization, coordinating office moves or reconfigurations, and ensuring that workspaces are allocated effectively.
- Mailroom, Office Supplies and Equipment: Procuring and managing office supplies, snacks inventory, furniture, and equipment, ensuring that they are well-maintained and available for staff use.
- Budgeting and Cost Control: Developing and managing the office services budget for Austin HQ, monitoring expenses, and identifying cost-saving opportunities.
- Organizing and executing corporate events: This includes coordinating and managing various types of events such as conferences, seminars, workshops, team-building activities, and company-wide celebrations. Responsibilities may include arranging catering, managing logistics, coordinating with vendors, and ensuring a smooth execution of the event.
- Vendor Management: Establishing and maintaining relationships with vendors and service providers, such as food/delivery service, cleaning services, and maintenance contractors.
- Collaborating with internal stakeholders: Working closely with different departments and teams within the organization to understand their event and meeting needs and objectives. This includes coordinating with Executives/Executive Assistants, Talent, Marketing, and other relevant departments to align event planning with organizational goals.
- Sustainability Initiatives: Implementing and promoting sustainable practices within the Austin HQ office, such as energy conservation, waste reduction, and recycling programs.
Qualifications and Attributes:
- Ability to multitask and manage organization and administrative aspects of multiple events and facilitate communications between all relevant parties
- Ability to manage and prioritize multiple competing activities in a fast-paced operational environment
- Excellent communication skills, both verbal and written
- Customer service attitude with the ability to interact with internal and external customers in a professional manner
- At least 6 years of experience in facilities/event management/hospitality along with 2 years of supervisory experience
- High emotional intelligence with experience in negotiation, conflict resolution, effective communication
- Open and flexible work schedule
- Proficient in Envoy, OfficeSpace or other workplace platform tools
US Workplace Approach:
- Remote: Role is full-time remote.
- Hybrid: Role requires you to be located in Austin, Texas and is a mixture of onsite and remote.
- Onsite: Role requires you to be onsite full-time.
