General Description :
Alpine Global is an investment firm with a breadth of sophisticated trading strategies across
global markets. Located in the Financial District of New York City, Alpine Global is in search
of an experienced and organized Office Administrative Assistant. The Office Administrative Assistant responsibilities include handling all office tasks, travel, meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools or resources like Google Sheets and office equipment. If you also have previous experience as a Secretary or Administrative Assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Office Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.
Major Duties and Responsibilities :
- Travel coordination such as flights, cars,hotels, booking visa and itineraries.
- Develop and maintain a filing system
- Submit and reconcile expense reports
- Greet guests and clients at reception
- Write and distribute email, correspondence memos, letters, faxes and forms
- Maintain contact lists
- Additional duties as assigned
- Maintaining facility, making sure the office looks presentable at all times
- Plan meetings and take detailed minutes
- Assist in the preparation of regularly scheduled reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Pay Bills
- Organize and schedule appointments
- Order office supplies and research new deals and suppliers
- Update and maintain office policies and procedures
- Assisting with errands for principals
- Answer and direct phone calls
Supervises:
- None
Requirements & Skills :
- 2 years of experience as an Administrative Assistant, Virtual Assistant or Office Admin
Assistant
- Strong organizational skills with the ability to multitask
- Attention to detail and problem solving skills
- Working knowledge of office equipment, like printers and fax machines
- Knowledge of office management systems and procedures
- Excellent written and verbal communication skills
- Excellent time management skills and the ability to prioritize work
- Proficiency in MS Office and/or Google Workspace
Qualifications
Education :
- Bachelor’s Degree
Experience:
- Bilingual Preferred
- 2 years of experience Administrative Assistant or Secretary
Salary Range: $50,000-$60,000
