Job Description

Overview:
The Coordinator for Global Talent will support the operational and administrative needs of the department with primary support to the Vice President and team. Major responsibilities include calendar and travel management, invoice and expense coordination, office management and meeting coordination.
This role will be a critical member of the HR team to ensure the Global Talent teams are supported. The role will be based out of our New York City offices to foster on-site collaboration and will provide a range of administrative and project support, in addition to having accountability for budget management for the Talent function. Qualified individuals will have a passion for collaboration, a sense of curiosity, and ability to communicate with impact at all levels of the organization
Key Accountabilities:
Office Management/Team Support:
  • Manage expense reports, coordinate departmental invoices, reconcile capital expenditure requests, and expense accounts. This role will also be responsible for meeting deadlines and policies.
  • Support general office management including management of office supplies, coordination of accepting and signing for deliveries and packages, distribution of trade magazines and coordination of shared materials across departments.
  • Proactively manage daily calendars and resolve scheduling conflict.
  • Book and prepare comprehensive travel arrangements as needed (flights, hotels, car rentals, reservations)
  • Create and update PowerPoint presentations, assist in the logistical preparation for meetings and interviews including reserving conference rooms for VPs, ordering meals, liaising with IT, etc.
  • Responsible for coding departmental vacation schedules, time off and coordination of all timesheets.
Project Support
  • Coordinate teambuilding activities
  • Provide ongoing support for special projects and key initiatives for Global Talent
  • Run reports proactively and ad-hoc to provide data and insights into talent trends and processes
Budget
  • Invoice management for Talent teams
  • Identify and support resolution for any discrepancies
  • Provide support to the Talent teams with monthly reporting, questions, and guidance
  • Manage the tracking of the Global Talent budget
Support with the administration and systematic inputting for the annual budget review
  • This position is in-person at our Corporate Headquarters at 200 5th Ave., New York City
Required Qualifications:
  • BA/BS Degree
  • 2+ years of experience within HR or administrative roles
  • Ability to work across the team and with different levels within the organization
  • Proven ability to multi-task and prioritize
  • Proficient in Microsoft Office software (Excel and PowerPoint)
  • Demonstrated analytical ability
  • Strong attention to detail and ability to navigate confidential information
  • Excellent communication skills, both verbal and written
Preferred Qualifications:
  • Experience with HR systems such as Oracle HCM
The hiring range for this position ranges from $30.00 - $40.00 per hour. The rate of pay offered will be dependent upon candidates' relevant skills and experience.
