As a member of this team, you will continuously develop and manage the structure to enable the pace and performance of the area. The Office Administrator will maintain positive relationships with multi-function team leaders and drive a deep understanding of the One Boeing Production System principles and standards, production health, and problem solving.
Position Responsibilities:
- Prioritizes and schedules management-level employee time and availability for efficient use of resources.
- Creates, edits and maintains electronic and written communication
- Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information.
- Orders and maintains office supplies.
- Tracks and maintains designated conference room schedules for availability and efficient use of resources.
- Plans and implements logistics for internal and external events and meetings.
- Maintains staffing assignments in appropriate system including team lead rosters and shift preference lists, and issues correspondence for any necessary changes.
- Creates, edits and maintains electronic and written communication. Prepares reports, presentations and flow charts.
- Collects and compiles data to provide visibility of status for traveler's review and/or signature.
- Coordinates and processes domestic and international travel arrangements, monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards.
- Focal for activities related to records information management.
- Plans the acquisition and maintenance of resources.
This position is expected to be 100% onsite. The selected candidate will be required to work onsite at one of the listed location options.
This position requires ability to obtain program access, for which the U.S. Government requires U.S. Citizenship only.
This position must meet export control compliance requirements. Tomeet export control compliance requirements, a “U.S. Person” as defined by 22 C.F.R.
- 120.15 is required. “U.S. Person” includes U.S. Citizen, lawful permanent resident, refugee, or asylee.
Basic Qualifications (Required Skills/Experience):
- Experience coordinating and processing business travel arrangements; generating expense reports for business travel and reconciling corporate credit card charges to ensure timely and accurate reimbursement
- Experience managing multiple executive calendars and/or conference rooms
- 3+ years of experience with Microsoft Word, Excel, Outlook, and PowerPoint
Preferred Qualifications (Desired Skills/Experience):
- Experience with Concur or a similar travel and expense management program
Typical Education & Experience:
Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 4 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+2 years' related work, Bachelor, etc.).
Relocation:
Relocation assistance is not a negotiable benefit for this position. Candidates must live in the immediate area or relocate at their own expense.
