Job Description

As the Office Administrator at GAAAF, you will play a pivotal role in ensuring the smooth day-to-day operations of our organization. You will be responsible for various administrative tasks, providing support to our team, and helping maintain an efficient and organized office environment.

Responsibilities:

  1. Administrative Support:
  • Handle incoming and outgoing correspondence, including emails and phone calls.
  • Manage and organize office documents, files, and records.
  • Schedule and coordinate meetings, appointments, and travel arrangements for team members.
  • Prepare and distribute internal memos, reports, and presentations.
  1. Facility Management:
  • Oversee office equipment and coordinate repairs or maintenance as needed.
  • Manage office inventory and order supplies when necessary.
  • Ensure the office is clean, well-maintained, and equipped with necessary supplies.
  1. Communication and Coordination:
  • Assist in organizing events, workshops, and conferences.
  • Serve as the first point of contact for visitors and callers, providing a professional and welcoming atmosphere.
  • Liaise with vendors, service providers, and external partners as required.
  1. Financial Support:
  • Assist in basic financial tasks, such as expense tracking, invoice processing, and budget monitoring.
  • Work closely with the finance department to ensure accuracy in financial records.
  1. Data Management:
  • Assist in data entry and data analysis tasks as needed.
  • Maintain and update databases, contact lists, and member records.

Requirements:

  • Proven experience as an office administrator, office assistant, or in a similar role.
  • Bachelor's degree in Business Administration, Office Management, or a related field preferred.
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Familiarity with agricultural or technology-related organizations is an advantage.
  • Detail-oriented and able to maintain a high level of accuracy in tasks.
  • Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.).
  • Excellent communication skills, both written and verbal.
  • Strong interpersonal skills and a professional demeanor.
  • Ability to work independently and as part of a team.
  • Knowledge of basic financial processes and budget tracking is a plus.
