Job Description

Ward & Berry PLLC seeks Legal Office Administrator for 40 hours per week in-office position at our Tysons Corner, Virginia office location. Essential responsibilities include but are not limited to:


  • Maintain client conflicts list.
  • Review and schedule docket dates.
  • Submit maintenance requests with building management.
  • Open, sort and organize mail and deliveries.
  • Make travel arrangements including hotel, airline, and rental car reservations in accordance with attorney preferences and membership programs.
  • Coordinate file transfers for new attorneys.
  • Scan and upload documents to electronic format.
  • Answer and screen routine incoming calls during business hours.
  • Complete event or speaker engagement registration for attorneys.
  • Communicate clearly with outside vendors.
  • Maintain Constant Contact database for mass email distribution.
  • Research legal issues as directed.
  • Maintain current Bar registrations and payments.
  • Draft pleadings for attorney review.
  • Word processing of letters, memos, forms, and other correspondence and legal documents as requested.
  • Prepare and file documents with various courts.
  • Coordinate interviews with potential candidates and attorneys.
  • Maintain inventory of equipment and office consumable supplies.
  • Maintain case files, review, and save email correspondence.


Hospitality services, including setting up and cleaning up conference rooms, maintaining cleanliness of the kitchen, restocking snacks, and drinks, placing lunch orders, greeting clients, and loading/unloading dishwasher.

  • Schedule, order and serve monthly firm luncheon recognizing birthdays and anniversaries.
  • Manage monthly firm events, primarily the monthly evening Speakeasy: Reserve event space with building management, maintain guest list, Inventory supplies, order food and supplies in accord with attendance, set up, serve and breakdown event, wash dishes and restock supplies.


Marketing and Web Services

  • Record videos for website.
  • Manage social media. Load blog posts within 24 hours of submission.
  • Evaluate expense and quality, obtain marketing materials, brochures, and business cards.
  • Update changes to website, including creating or linking pages and modifying photo resolution.
  • Coordinate with photographer.


Requirements:

  • Minimum three years full time administrative experience.
  • This position requires a friendly, self-motivated, highly organized person who is a service-oriented team player with superior written, verbal, and interpersonal skills.
  • Excellent client service is expected.
  • Ability to present himself or herself professionally and understand the importance of confidentiality and highly sensitive information.
  • Must be able to push, pull and lift up to 50 lbs.
  • Website coding skills.
  • Work in-office 10:00-6:30 with half hour lunch break.
