Summary


As an Executive Assistant to the CEO of Atom you will be an entrusted asset at Atom adding value to our key initiatives by supporting high-performance execution of the CEO through the management, coordination, and administration of all support functions spanning personal items, marketing, sales, operations, and other administrative areas.


This is a highly visible role which focuses heavily on the ability to identify, anticipate, address, and resolve multiple critical issues with ease. As an Executive Assistant to CEO you will be directly impacting our mission and purpose by contributing to the performance of the CEO and the executive staff allowing them to be at their level best with the key priority of achieving the company’s objectives.

Job Duties and Responsibilities:


  • Positive “No task too big or too small” results-oriented attitude.
  • Assist in project coordination and project management across various initiatives within the company involving both internal and external stakeholders.
  • Coordinate CEO’s personal and professional priorities and goals to maximize productivity.
  • Develops business processes and drives continuous improvement to effectively and efficiently deliver support services to the CEO and organization.
  • Assist in opening meetings and capturing meeting minutes.
  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
  • Assist with special projects, ad hoc research and external meetings, team events, customer meetings, and other operational activities across various function of the companies – social media, digital marketing, sales, public relations, etc.
  • Plans, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and attention. Manages email inbox for CEO and determines appropriate course of action. Triages complex and sensitive incoming issues; develops and recommends solutions to complex problems; determines appropriate course of action and executes accordingly.
  • Communicates directly, and on behalf of the CEO, with the board, customers, staff, and others.
  • Other duties as assigned.
  • Coordinate and manage day-to-day tasks both personal and professional to ensure the CEO is focused on high priority, high impact items, directly related to the successful growth of the company.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special personal and professional projects for the CEO.
  • High level of importance placed on representing the company and the CEO with integrity and professionalism while building and nurturing relationships with internal and external stakeholders.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO, some of which may have organizational impact.
  • Maintain complete confidentiality and discretion for ALL business and personal matters, including not engaging in any indirect sharing of confidential information or disparaging statement made about the company, its employees, or executives.
  • Willingness and ambition to grow with the company and become a trusted liaison of the CEO and the executive team.
  • Ability to prepare important documents, board materials, and customer presentations.
  • Organize, manage, and maintain the business and personal calendar to promote efficiency for the CEO.


Required Skills/Experience:


  • Proficient in building customer relationships and represent self, others in the best light.
  • 4+ years prior experience with operations management, executive assistance, and working with C-level executives.
  • Bachelor’s degree in business or marketing.
  • Proactive, resourceful, and always anticipating what’s next.
  • Excellent problem solver and communicator.
  • Proficient in Office 365 – Word, PowerPoint, Outlook, and Excel.
  • Experience handling sensitive and confidential information with discretion.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Ability to work well under deadlines and high-pressure environments.
