Job Description

Executive Assistant to CEO of a Beauty and Lifestyle Brand

Our client seeking a highly proficient and organized Executive Assistant to support the CEO of its company. The Executive Assistant will work behind the scenes to keep the Executive’s calendar organized and optimize productivity. The Executive Assistant will function as an administrative assistant, event planner, trusted gatekeeper, thought partner, personal shopper and project manager. The Executive Assistant must have a keen sense of detail, exceptional technical skills (software, apps and social media) and have a proactive mindset. Professionalism, exceptional communication and diligence will be integral for success in this high-level support role.


RESPONSIBILITIES:

  • Communicate with Executive Team to coordinate calendars and appointments
  • Office Support & Administrative Functions
  • Coordinating logistics such as travel, press junkets, business meetings, photo shoots, parties, vacations, and events
  • Event Planning and Travel Coordination
  • Oversee Scheduling and Calendar Appointments
  • Ensuring daily schedule is extremely organized
  • First point of contact for all incoming communications and inquiries
  • Order supplies, meals and prepare for corporate events
  • Calendar management: appointments with colleagues, stylists, celebrities, and business management teams
  • Drafting and editing communications
  • Liaising with cross functional divisions to keep projects in motion
  • Expense reports and tracking budgets

REQUIRED EDUCATION AND EXPERIENCE

  • 3-5 years’ experience as an Executive Assistant
  • Proficient using Microsoft Office 365: Excel, Word, PowerPoint, and Social Media platforms
  • Salary range: $75-95k, plus full benefits
  • BA/BS degree or equivalent industry and working experience
