Position Summary
The Administrative Assistant role provides administrative support to the Firm's Tax department, as well as supporting Firm Partners. We are looking for the right person to help the Firm, Partners and staff perform at a high level, while building trust in the marketplace. As the first friendly face that clients and visitors see when they walk in the door, this important role helps demonstrate the integrity and culture of the Firm. The Entry-Level Administrative Assistant is patient, kind, and approachable. Among the essentials of the position, we are looking for someone who provides courteous phone reception skills and professionalism. This position will be based in our Pleasanton, California location and is a full-time position. Working hours during our busy season (January - April and September - October) are Monday - Friday in office. Working hours during non-busy season are Monday - Thursday with remote work option on Fridays.
Responsibilities
  • Complete new client onboarding administrative tasks
  • Outlook Calendar management
  • Scanning and printing
  • Updating Bill.com monthly invoices
  • Updating VPM software system with project statuses or staff additions/changes
  • Scanning documents to electronic database as well as QC of scanned files
  • Provide excellent internal and external client service in-person, via phone and email
  • Assisting Partners and staff with additional projects such as updating Excel spreadsheets, event preparation/coordination, expense report submission
  • Scheduling internal/external meetings and as needed
  • Drafting and tracking Statements of Work (SWs)
  • Generating reports in CRM, and VPM software
  • Assembling large volumes of tax returns
  • Updating opportunities in CRM, Symphony
  • Taking meeting notes and updating CRM accordingly
Qualifications
  • Strong attention to detail
  • High school diploma or equivalent
  • Self-motivated, confident, energetic, and positive
  • Ability to prioritize workload efficiently using excellent time management skills
  • Tax software ( CCH ProSystem fx Tax, CCH Axcess) experience preferable
  • Ability to work overtime when needed, including weekends during busy season (January - April and September - October)
  • C ourteous and professional written and verbal communication skills
  • Advanced computer skills and use of MS Office
  • 2years of Administrative Assistant experience
  • Solid Interpersonal and organization skills
  • Ability to multitask and willing to take direction
  • Must be able to work in a fast paced, high-pressure, deadline driven environment
  • Professional Service industry (i.e. CPA firm or Legal) experience a plus
  • Ability to efficiently work both collaboratively and independently in a remote/office environment
