Job Description
Administrative Assistant II

Administrative Assistant III

Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Administrative Assistant IV
Performs administrative office support-related work for department staff, the general public, and one or more projects and/or specialized programs. Work requires contact with high-level managers, executives, governmental officials and private entities. May serve as a lead worker. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Essential Duties:
Administrative Assistant II, III & IV
  • Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, and travel information.
  • Reviews correspondence and reports drafted by others
  • Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content, and clarity.
  • Processes receipts and invoices for payment.
  • Researches legal, technical and/or policy Issues and assists in organizing, coordinating and preparing written or statistical reports.
  • Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
  • Receives new, retires old and records transferred equipment; witnesses and documents the disposal of retired equipment· ships obsolete equipment to a central storage area.
  • Uses database, spreadsheet or graphics software applications to prepare complex statistical reports and/or presentations and verifies for accuracy and completeness.
Administrative Assistant III & IV additional Duties:
  • Reviews information going to the supervisor and highlights important matters; researches and provides additional information as needed; briefs supervisor on background information needed for meetings.
  • May serve as a lead worker by serving as a resource for complex questions; presenting workflow and operational updates to the supervisor/manager; providing input on team members career conversations; and approving leave requests to ensure operations coverage.
  • Coordinates and/or composes correspondence and reports regarding technical program initiatives.
Administrative Assistant IV additional Duties:
  • Coordinates front office operations to include responding to telephone calls, email, walk in customers, and routing messages.
  • Represents the supervisor at meetings and is in contact with other governmental agencies and professional groups.
Minimum Qualifications:
Education: High School Grad or Equivalent in general high school studies.
Experience :
Administrative Assistant II
1 year in administrative or clerical support, customer service, or related experience. (Experience can be satisfied by fulltime or prorated part time equivalent)
Administrative Assistant III
3 years in administrative or clerical support, customer service, or related experience. (Experience can be satisfied by fulltime or prorated part time equivalent) . College education and/or relevant technical training may be substituted for experience on a year per year basis.
Administrative Assistant IV
4 years in administrative or clerical support, customer service, or related experience. (Experience can be satisfied by fulltime or prorated part time equivalent) . College education and/or relevant technical training may be substituted for experience on a year per year basis.
Substitutions For Minimum Qualifications
Licenses and Certifications:
Valid driver’s license. This position requires driving a state vehicle.

  • Researching, analyzing and interpreting policies and state and federal laws and regulations specific to functional area. and information technology related systems
  • Maintaining effective working relationships with others
  • Administrative support practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping and records management.
  • Preparing and maintaining confidential and sensitive records, files and reports
Ability to
  • Follow verbal and written instructions.
Administrative Assistant III &IV additional competencies:
  • Automated record-keeping methods
  • Preparing correspondence/documents using correct spelling, grammar and punctuation; proofreading and reviewing documents for clarity and consistency
  • Coordinating and scheduling activities/resources
Physical Requirements and Working Conditions:
Administrative Assistant II, II & IV
  • Light work: Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
  • Sitting- prolonged periods of times
  • Repetitive Motion-substantial movements of the wrists, hands and/or fingers
  • Standing- prolonged periods of time
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading

TxDOT's Lubbock District is looking for an Administrative Assistant II, III or IV based in Lubbock, TX in the Director of Construction's Office. In the construction office we handle over 500 Million dollars of construction projects annually, work with various engineers, contractors and state agencies to achieve the goals of the Texas Department of Transportation.
