SITE/ASSIGNMENT: TBD. THIS IS AN EIGHT (8) HOURS PER DAY, 261-DAYS-PER-YEAR POSITION.

SALARY: RANGE 30 $26.80 - $32.56 PER HOUR
THIS RECRUITMENT IS TO ESTABLISH A CANDIDATE POOL LIST. THERE ARE NO CURRENT VACANCIES.
Under the direction of an assigned supervisor, perform a variety of responsible and technical clerical work in support of an assigned program or function; provide work direction and guidance to student assistants and other clerical personnel as assigned.
DISTINGUISHING CHARACTERISTICS:
Office Assistant III incumbents perform specialized clerical duties or provide sole clerical support for an assigned function. Incumbents in the Office Assistant II class perform a variety of clerical support duties including typing, filing, recording and processing information, answering telephones and providing information to parents, students, faculty and others. Office Assistant I incumbents are assigned routine and repetitive general clerical duties requiring no previous experience.
Any combination equivalent to: graduation from high school and two years of increasingly responsible clerical experience involving the use of automated office equipment and software.
RECRUITMENT PROCEDURE: The recruitment process will consist of a Screening Process and a Written Examination.
Perform specialized and technical clerical duties related to assigned function such as compiling information from a variety of sources and preparing complex reports as required by District, County, State or Federal regulations; communicate with other agencies or departments to provide or obtain a variety of information. Provide technical information concerning policies and procedures of assigned program or office according to established guidelines. E
Compose correspondence either independently or from oral instructions; prepare letters, memos and forms, requesting, providing or verifying information; receive, screen and route mail. E
Prepare, format, type, proofread and duplicate a variety of items including proposals, contracts, reports, agendas, minutes and student records; type health, development, psychologist and student progress reports. E
Operate computers and peripheral equipment to enter, revise, update and print information; generate records, reports, lists and summaries as needed; utilize word processing software applications. E
Receive and screen phone calls and visitors; provide information and direct inquiries and visitors to the proper person or office; dispatch information to bus drivers regarding students, bus routes and stops, and searches for students; communicate information to parents regarding children.
Communicate with District and County personnel to coordinate office activities and to exchange information; communicate with local businesses to assist with the coordination of JTPA activities and projects.
Maintain and request or distribute cumulative student records print student transcripts; review transcripts to compile and enter information into the computer and to notify students of needed classes and units; assist with student registration into proper grade, courses or programs.
Perform a variety of projects as assigned; prepare preliminary and final findings; type reports, manuals, flyers and charts as assigned.
Coordinate schedules and communicate with others regarding meetings, appointments, activities or announcements; schedule appointments, meetings, conferences and arrange interviews for supervisor and others.
Monitor and maintain office or program budgets according to established guidelines, including payroll and material purchases; type requisitions and process invoices according to established procedures and maintain adequate inventory levels of office supplies.
Prepare and maintain detailed and complex logs, files and records; maintain inventory; order supplies and materials as assigned; maintain confidentiality of materials and information.
Assure timely distribution and receipt of a variety of records and reports; request or provide information as necessary to obtain and exchange needed information.
Operate office equipment such as a typewriter, calculator, dictation equipment, copier, ten-key machine and two-way radio equipment.
Receive and verify applications for services; recommend status of eligibility for prospective program participants as assigned; maintain records such as enrollment, attendance and absence verification.
Perform related duties as assigned.
