Job Description
The North Bastrop County Fire Rescue Department ESD 1 located in Elgin, Texas has an immediate opening for a full time Administrative Assistant. The Administrative Assistant will be responsible to oversee the general administrative function and activities of the office including accounting and payroll.


Responsibilities will include:


Office Management


  • Maintains inventory of office supplies; orders new supplies as needed.
  • Records and distributes minutes or other records for meetings.
  • Maintains office files; implements an efficient system for other staff to access files and records.
  • Answers phones, sorts and distributes mail.
  • Establish control procedures for document handling, storage and develop data collection and a record retention system along with procedures for control, storage and purging of documents in accordance with applicable laws and regulations.
  • Distributes notification of monthly commissioner meetings and maintain records of the meetings.
  • Prepares agendas and schedules for meetings.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Plan and implement duties and functions assigned by Fire Chief.
  • Welcomes and directs visitors and clients.
  • Provide staff with necessary guidelines, procedures and forms.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Assist Fire Chief with annual budget.


Accounting


  • Maintains company debt card and reconciles bank statements monthly
  • Process department purchases.
  • Pays bills.
  • Prepare and transfer of fund as needed.


Payroll


  • Performs other related duties as assigned.
  • Runs on a biweekly basis.
  • Enters and maintains information in the payroll system; information may include employees’ hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.


Qualifications:


  • High School diploma required.
  • Proficient with Microsoft Office Suite or related software.
  • 3-5 years experience in an administrative support position.


Knowledge & Skills:


  • Excellent verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent organizational skills and attention to detail.


Compensation: $50,000 depending on qualifications


Physical Requirements


  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Ability to stand, walk, sit, talk or hear. Ability to lift 5-25 pounds.
