Are you ready to take on an exhilarating new challenge? We are seeking an exceptional individual to join our prestigious team as our Vendor Payments Manager.
At Geneva Worldwide, we are at the forefront of innovation, pushing boundaries, and redefining excellence in the Language Services industry. As the Vendor Payments Manager, you will play a pivotal role in overseeing the complex payment processes for our rapidly expanding network of 1099 independent contractors that provide language access to non-English speakers and Deaf or hard of hearing communities across the US, as well as internationally.This will also include the future project of reclassification of some linguists to a W2 payroll model in 2024. This is a full-time 100% remote position!Our operating hours are 8am - 5pm EST, but our work schedules are flexible, and we are open to candidates anywhere in the US.For legal/ tax reasons, we arenotable to consider candidates outside of the country.
RESPONSIBILITIES
- Prepare reports for the department & executive team as requested.
- Oversee the development and growth of direct reports in Vendor Payment Specialist roles in order to nurture and support their progress.
- Continually work to improve processes and workflows within and across teams to maximize efficiency and scalability
- Attend weekly meetings to report on any activities/ updates relevant to other department heads or new initiatives that you would like support with.
- Uphold our high standards of customer service with all vendor partners and agency partners when addressing inquiries and resolving payment-related concerns.
- Prepare and plan for the 2024 rollout of split payrolls for 1099 & W2 linguists with executive oversite and guidance.
- Calculate correct payment amounts incorporating additional factors like travel time, wait time, off-hours special rates, etc.
- Administer statements of vendor payment to contractors electronically.
- Manage and oversee the weekly vendor payment processing.
- Highlight and implement automation strategies in order to increase efficiency in processing.
- Prepare and submit payrolls via our online payroll portal.
- Conduct 360 performance evaluations quarterly for all direct reports.
- Keep track of rate changes, conflict of information between client and contractor, etc.
- Communicate and collaborate with internal teams to make necessary changes/updates to vendor records.
- Collect, analyze, update, and reconcile payments and other payroll-related data according to established guidelines, standards, and procedures.
- Ensure all company compliance requirements are met.
- Ad hoc projects as assigned.
- Work in collaboration with the Operations team to investigate and resolve any discrepancies uncovered in the payment processing cycle with professionalism and tact.
SKILLS & REQUIREMENTS
- Demonstrated ability to lead with empathy, compassion, and understanding, fostering a positive and supportive work environment for team members.
- 3+ years’ experience with payroll processing (1099 Independent Contractors) in a time and attendance environment (or similar)
- Individuals must be able to easily learn new applications, interpret and analyze payroll data while being innovative and having the ability to adapt to change.
- Resilience and adaptability to thrive in a fast-paced, high-pressure environment.
- Solid understanding of accounting fundamentals and payroll best practices.
- Must be self-motivated and proactive.
- Excellent communication and problem-solving abilities to navigate complex payment scenarios.
- Strong attention to detail & analytical skills with the ability to identify patterns and discrepancies.
- Bachelor's degree or higher required
- Exceptional organizational and time management skills to meet strict deadlines.
- Trustworthy with attention to confidentiality.
- Experience working in a remote environment is a plus!
- Proficient in MS Office and good knowledge of payroll software and databases.
- 3+ years of Management experience
