We are looking for an Administrative Assistant to perform a variety of administrative and clerical tasks under the supervision of the onsite Association Manager. Duties of the Administrative Assistant include but are not limited to providing support to the Association Manager, assisting in daily office needs and managing general administrative activities.
Responsibilities include by are not limited to:
· Answer and direct phone calls
· Organize and schedule appointments
· Plan meetings and take detailed minutes
· Write and distribute email, correspondence, memos, faxes and forms
· Assist in the preparation of regularly scheduled reports
· Maintain a filing system
· Update and maintain office policies and procedures
· Order office supplies
· Maintain contact lists
· Provide orientation and information to new and existing residents
· Provide general support to visitors
· Act as the point of contact for internal and external clients
· Liaise with the Project Coordinator to handle requests and queries from contractors
· Exercise discretion, judgment and patience at all times
· Other duties as assigned
Experience
· At least one year experience as an administrative assistant
· Customer Service experience is required
· Knowledge of office management systems and procedures
· Working knowledge of office equipment, like printers and fax machines
· Proficiency in MS Office Word, Excel and Outlook
· Excellent time management skills and the ability to prioritize work
· Attention to detail and problem-solving skills
· Excellent written and verbal communication skills
· Strong organizational skills with the ability to multi-task
· Excellent typing skills
· High School Diploma, Associate degree preferred
