We are looking for an Administrative Assistant Project Coordinator who will play a pivotal role in providing high-level administrative support to our Executive Directors and other senior staff. In addition to this, you will be responsible for organizing, managing, and planning complex projects across our organization's research, development, and product implementation efforts.
Key Responsibilities
Supervisory Responsibilities:
Oversee a team of managers and analysts to ensure projects are completed on time and according to specifications.
Delegate work and assignments to team members based on expertise, work experience, and time constraints.
Duties/Responsibilities
Provide high-level administrative support and assistance to the Executive Directors and/or other assigned leadership staff.
Perform clerical and administrative tasks, including drafting letters, memos, invoices, reports, and other documents for senior staff.
Schedule and attend meetings on behalf of executives, taking notes and recording minutes.
Receive incoming communication or memos on behalf of senior staff, review contents, determine importance, and summarize and/or distribute contents to appropriate staff.
Perform additional duties as assigned by executives.
Lead an interdepartmental team to complete an assigned project on time, to specifications, and with accuracy and efficiency.
Outline the tasks involved in the project and delegate accordingly.
Conduct cost analysis, estimating expected costs for the project.
Prepare and implement a budget based on estimates.
Conduct risk assessments; report identified risks to management; provide recommendations for mitigation of risk (including termination of the project if appropriate).
Address questions, concerns, and/or complaints throughout the project.
Act as a liaison between the company, customers, and vendors.
Ensure compliance with federal, state, local, industry, contractual, and company regulations, standards, specifications, and best practices.
Perform other related duties as assigned.
Required Skills/Abilities
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Extensive knowledge of office administration, clerical procedures, and record-keeping systems.
Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Strong analytical and problem-solving skills.
Strong supervisory and leadership skills.
Ability to prioritize tasks and to delegate them when appropriate.
Thorough understanding of or the ability to quickly learn about the project or product being developed.
Education And Experience
Bachelor’s degree in Business Administration or related field preferred, which may include Computer Science, Business, or Engineering, required.
Project management certifications highly desirable.
Physical Requirements
At least four years of related experience required.
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Salary: $ 18.00 24.00 Per Hour
