Job Description
  • $500 signing bonus after 60 days of employment
Position Summary
Under the general supervision of the Industry Director, to provide administrative support services to the general operation of the expanded learning programs in Marin and San Francisco. To facilitate program organization (data tracking and electronic filing systems), scheduling, and communication between key staff members. To support program planning, implementation, and execution of initiatives and special projects. The ideal candidate has strong organizational skills and can handle multiple tasks and priorities independently.
Compensation: $28/hr - $32/hr
Schedule: Full-time, hybrid (at least three in-person days), Monday – Friday, 9 am/9:30 am – 5 pm/6:00 pm preferred
Reports To: Industry Director Expanded Learning (EXL) Programs

Requirements
Minimum Qualifications:
  • Proven commitment to equity and inclusion in the workplace.
  • Education: Minimal of 48 college units or Associate degree, BA preferred.
  • Previous experience working in a non-profit or educational institution.
  • Transportation required.
  • At least 2 years of experience as an Administrative Assistant, Program Specialist, or Office Manager.
Preferred
  • Proficiency in MS Office, G Suite, Zoom, and Canva (ability to create presentations, newsletters, spreadsheets, format documents, and create virtual binders).
  • Excellent customer service.
  • Possess strong organizational and time management skills, including setting priorities to handle numerous projects/tasks.
  • Ability to maintain high confidentiality regarding staff personnel records and other agency-related matters.
  • Ability to positively represent the agency and maintain a cooperative working relationship with BACR employees, the public, and other partners.
  • Ability to compile and maintain accurate and complete records and reports paying attention to detail.
  • Excellent written and verbal communication skills.
Responsibilities
Travel less than 20% of the time between program offices and school sites to assist with special projects, hiring, or setting up meetings.
  • External and Internal Outreach: Liaison between Management Team and C Suite, Central office staff, Site Coordinators, or program staff regarding BACR matters. Assist in communication with partners, County Office of Education, or advocacy groups' requests from forms, materials, data gathering, information sharing, or scheduling people for trainings and events. In coordination with the Marketing team, develop marketing materials (i.e.recruitment flyers, newsletters, etc.) (Home Away 40% / Other programs 60%)
  • Develop and maintain online toolkits by compiling and organizing existing information and creating electronic filing systems using the G Suite for data tracking, and students, volunteers, and donors’ records (Home Away 60% / Other programs 40%)
  • Communication and Industry Alignment: gather information from different programs to create and maintain a quarterly newsletter to distribute to BACR and District contacts and partners. Assist in maintaining a calendar of events and key district dates to align training and community-building efforts among Marin and San Francisco EXL programs and the PAC team. Support in the distribution and completion of BACR surveys and other agency-wide events. (Home Away 20% / Other programs 80%)
  • Provide a high level of administrative and clerical support to the Industry Director to ensure the efficient and smooth day-to-day operation of the Marin and San Francisco EXL Programs by assisting with scheduling and communication among key management team members.
  • Onboarding support: Assist in Outreach and Recruitment for Marin and San Francisco EXL Programs. (Including resumes, postings, and follow-ups). Support onboarding efforts by scheduling orientation meetings and ensuring pre-hiring requirements are completed within a reasonable time. Assist People & Culture (PAC) with fingerprinting and collecting documents on a need basis for hiring and managing documentation to change staff status (i.e., terminations) (Home Away 15% / Other programs 85%)
  • Meeting and training support: assist Industry Director and Program management team in setting up agendas, sign-in sheets, coordinating food, and preparing & organizing meeting materials. Take meeting notes to support attendees' follow-up on action steps and accountability meeting deadlines.
  • Supplies and Facilities: Assist in tracking and pacing supplies orders and schedule program/ office space maintenance to ensure program compliance. Assist with organizing and keeping providers’ information up to date. (Home Away 75% / Other programs 25%)

Above is the pay range for this position that we reasonably expect to pay. Individual compensation is based on various factors including experience/education, skillset, and geographic location.
