Job Description

The Program Manager reports directly to the Department Chair of Kinesiology (Chair) and the BS in Kinesiology Program Director (PD) to assist in and oversee the management of day-to-day departmental and program operations. The Program Manager provides managerial, administrative, and technical support for the Department and BS in Kinesiology Program, faculty, and students. Responsibilities include directing administrative aspects of the department, including budget, records, reports, and personnel. The Program Manager also serves as the Department's liaison between other University and School of Behavioral and Applied Sciences divisions, as well as with department faculty, staff, and students.


The ideal candidate can perform under general supervision, be highly organized, and maintain outstanding customer service.


Work days are typically 8-hour days Monday through Friday.


Required Education


  • Bachelor’s degree, master’s preferred.


Required Experience


  • One to three years of experience in one or more professional responsibilities related to recruitment, enrollment, retention, advising, or student services in a higher education setting.
  • Three to five years of administrative or program management experience in a business or educational setting (higher education experience preferred).
  • Evidence of progressively more skills and responsibilities for program administration, development, and implementation, preferably within a higher education setting.


Primary Duties/Essential Functions


Assists the Chair in the following capacities:


  • Regular, punctual attendance as required by the supervisor based on department needs.
  • Manage emerging educational and software technologies provided at APU and used by the Department.
  • Initiate, approve, and track requisitions, purchase orders, expenditures, and reimbursements for equipment and supplies.
  • Coordinate program full-time and adjunct faculty hiring process, including coordinating on-site interviews and meetings, managing candidate communications, and providing timely preparation of contracts and all required documents in collaboration with faculty members and Human Resources.
  • Oversee and prepare reports and communications on admissions, enrollment, budget, and faculty, student worker, and teaching assistant workloads and timekeeping.
  • Create and oversee FERPA compliant file management systems and databases to maintain physical and digitized records, including departmental, program, and student records; budget, personnel, correspondence, department procedures, and meeting agendas/minutes.
  • Drafts correspondence, agendas, and other writing projects as requested.
  • Work collaboratively with the program manager for the graduate programs in the Department of Kinesiology to ensure consistency in department communication.
  • Schedule and attend all department and program meetings, and create and maintain meeting minutes and correspondence.
  • Coordinate with University services such as catering, printing, mailroom, classroom resources, information and media technology, facilities, and equipment requests.
  • Arrange and coordinate faculty budget requests for travel and professional development.
  • Attend and participate in staff meetings for the School of Behavioral and Applied Sciences.
  • Plan and coordinate department events including, but not limited to, student orientations, information meetings, speaker series, receptions, kickoff events, and other activities.
  • Attend professional development workshops as needed to increase capabilities and keep abreast of changes in university policies and procedures.


Assists the BS in Kinesiology Program Director (PD) in the management and coordination of all of the following:


  • The program’s academic advising process and procedures.
  • Updates and revisions to the program’s course catalog and website.
  • The program’s recruitment and admissions activities and events, including maintaining communications between the department and potential students and conducting new student orientations.
  • Student e-mails and inquiries related to the program.
  • Perform other duties as assigned by the Chair and BS in Kinesiology Program Director.
  • Program-related schedules, appointments, meetings, and calendars.
  • The program’s course scheduling system, including monitoring current and past enrollment, assisting in the management of course sections, classroom space, and course rosters, and coordinating the processing of communication and records with the Registrar, Scheduling, and Student Services.
  • Manage student employees and the assignment of their daily duties and coordinate schedules for program tasks, events, advising, and communications.
  • Program graduation applications and clearances.
  • Customer service activities for the program's students as they advance from admissions and enrollment through completion of the program.
  • All program meetings and events.
  • Ordering, invoicing, and tracking the program’s purchases of equipment, supplies, and educational resources.
  • Alumni communications, contact information, and surveys.
  • The program’s promotional materials, social media, and bulletin boards.

  • The Kinesiology Department uses PeopleSoft, 25Live, Zoom, Adobe Acrobat, Dropbox Sign, Formstack, Canva, Calendly, and others.


Compensation


  • Grade 10: $25.94 to $29.83 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
