: Office Manager and Executive Assistant

Role And Responsibilities
As an Office Manager and Executive Assistant, you will play a pivotal role in supporting our foundation's leadership team. Your dynamic responsibilities will encompass a wide range of tasks to ensure the smooth functioning of our operations. This is a fantastic opportunity for a proactive, detail-oriented individual who thrives in a fast-paced environment.
Executive Assistant Responsibilities
Skillfully manage and maintain complex calendars, coordinating appointments, conference calls, and events to ensure efficient scheduling.
Be the point person for organizing business and personal travel, handling logistics such as flights, accommodations, and other travel needs.
Craft and edit correspondence, communications, and presentations on behalf of management, reflecting the foundation's values and vision.
Liaise effectively with internal staff and external partners, building strong relationships and representing the foundation professionally.
Prepare well-structured agendas, briefing materials, and presentations for meetings.
Provide valuable administrative support to management, enabling them to focus on executive-level responsibilities.
Manage phone calls and emails efficiently to ensure smooth communication.
Additional Personal Assistant Duties
Take care of various errands, ranging from merchandise returns to obtaining specialized items in the Greater Boston area.
Facilitate home maintenance by sourcing contractors, overseeing projects, and ensuring everything is well-maintained.
Conduct occasional shopping, paying keen attention to quality and preferences.
Assist with custom organization projects, ensuring streamlined processes and decluttered spaces.
Office Manager Responsibilities
Foster internal communication by distributing information and coordinating presentations among staff members.
Oversee general office management, including program support and ensuring smooth daily operations.
Be responsible for planning and organizing in-person meetings for the foundation's staff on a weekly basis.
Develop and coordinate trainings and retreats to enhance the team's skills and collaboration.
Respond promptly to managers' queries, demonstrating your excellent organizational abilities.
Provide valuable assistance and support on various projects across the organization.
Qualifications And Education Requirements
Bachelor's degree is required.
Minimum 5 Years Of Experience Supporting C-Level Executives.
Proficiency in Microsoft Office and computer literacy.
Exceptional communication skills, both written and verbal.
Proven ability to handle sensitive company information with discretion and confidentiality.
Meticulous attention to detail and strong organizational skills.
Experience with international travel arrangements and logistics is highly desirable.
Professionalism and the ability to relate effectively to individuals at all business levels.
Strong problem-solving skills, adaptability, and the ability to prioritize tasks effectively.
Cultural sensitivity and the ability to work across diverse regions.
Comfortable working in a family-oriented, small office environment.
