The Department of Medicine’s Division of Medical Oncology has a dynamic and innovative opportunity for a Temporary HR Coordinator based on Fred Hutchinson Cancer Center campus. This position reports to Associate Administrator of Staff HR for the Division of Medical Oncology and works closely with leadership in the Division of Medical Oncology, Department of Medicine, School of Medicine,
The University of Washington's Division of Medical Oncology's includes 300 faculty members and 200 staff members located at the UW Medical Center, the Fred Hutchinson Cancer Center, and the VA Puget Sound Health Care System. Over the past 25 years, members of the Division have developed the world's leading bone marrow transplant program. In addition, members of the Division have made substantial contributions to many other areas of cancer treatment, including the use of tumor vaccines, cellular therapy for cancer, antibody-based treatments, and novel forms of chemotherapy and hormonal therapy. The Division is deeply committed to maintaining its position as one of the leading centers for research and treatment of cancer in the world.
The mission statement of the University of Washington Medical Center states that the Medical Center serves as a research resource, providing an environment in which clinical research may be conducted. This position is essential to that mission. This position provides significant contributions to human resources, program operations and administrative management for the Division of Medical Oncology.

HR Operations Support - 40%
  • Create positions and job requisitions in Workday

  • Create and process hiring of student assistants in Handshake and Workday

  • Assist with the recruitment and on-boarding of new hires

  • Prepare workstation set up for new staff (phone, basic office supplies, name plates, etc.)

  • Assist with process improvements to current Division systems and updating the Division’s HR processes

  • Maintain staff HR policies and procedures on the Division's intranet site and website


  • Workday systems updates - 20%
  • Work closely with Program Operations Specialist (Martha’s title) to review and edit job descriptions

  • Review and close all unused and incomplete job descriptions in Workday

  • Review and archive electronic legacy documents

  • Organize and maintain Division’s personnel electronic filing system


  • Merger Support - 20%
  • Revise organization chart to include merging Division

  • Gather, review and merge legacy documents (and job descriptions) into new electronic filing systems.

  • Assist Division leadership in all aspects of merger integration (communication and culture strategy and plans)

  • Other duties as assigned


  • Space/Operations Support - 10%
  • Assist with tracking Division EIO (equipment inventory operations)

  • Submit and track facilities work requests (i.e., keys, lighting, picture hanging, small repairs)

  • Maintain floorplans/seating charts (in PowerPoint) to assist in identifying location(s) for work requests

  • Assist with faculty office moves and set ups

  • Update Division org chart and space inventory database as needed


  • Other - 10%
  • Provide support as needed to Central Admin-Program Operations team

  • Assist with SharePoint development

  • UWFT support as it applies to HR operations

  • Perform other duties as assigned

  • Coordinate and track the annual staff reviews, telework agreements, Privacy and Confidentiality document

  • Assist with and track staff promotions and in-grades

  • Assist with maintenance of Division staff salary stats for comparisons

  • Back up support for payroll close


  • Minimum Requirements
  • High School Graduation or equivalent AND three years of office experience including at least six months of experience in a human-resources or related setting OR equivalent education/experience.


  • Additional Requirements
  • Experience working with issues of a confidential nature, using discretion and tact.

  • Position requires ability to maintain confidentiality of sensitive issues and adhere to regulations concerning maintenance of confidential materials.

  • Excellent oral and written skills.

  • Demonstrated ability to work highly efficiently with a high-level of productivity.

  • Demonstrated ability to work in Microsoft office software.


  • Desired
  • Two years' program or project management experience at a diverse, multi-faceted organization.

  • Working knowledge with Workday systems

  • Experience with SharePoint and Visio

  • This position is located in a clinical and research environment on the Fred Hutchinson Cancer Center campus.

  • This position may include travel between affiliate sites such as UW Medical Center, Harborview and other locations as needed.
