Role Overview
As an Administrative Support member for our esteemed Amex Digital Labs team, you will provide crucial assistance to 2-3 Vice Presidents. Your role will involve seamless collaboration, coordination, and administrative tasks across various business units and band levels. We are looking for a candidate with experience in handling diverse administrative responsibilities, a passion for supporting leaders, and the ability to work independently with confidence. In addition to administrative duties, you will have the opportunity to contribute to broader responsibilities such as budget management, training and development programs, and strategic initiatives.
Responsibilities
Coordinate calendar management, ensuring smooth communication across senior business leaders, dispersed locations, and different time zones.
Arrange meetings, including video and audio conferencing, as well as coordinate team meetings, off-sites, activities, and events.
Facilitate international and domestic travel arrangements, leveraging our travel booking tools and preferred vendors. Prepare detailed itineraries for Vice Presidents.
Ensure timely processing of expense reports, reviewing expenses, and highlighting any out-of-policy spend. Track and process invoices.
Assist with timekeeping and payroll duties.
Collaborate with other Executive Assistants to organize and coordinate town halls, employee-related activities, and events.
Handle various ad hoc administrative tasks, such as updating organization charts, distribution lists, and creating/editing presentations and documents.
Pull standard reports and employee data from HR systems.
Contribute to training and development activities, fostering team culture through events, social gatherings, and strategic initiatives.

Proficiency in MS Office applications (Word, PowerPoint, Excel) and Outlook.
Excellent written and oral communication skills, with the ability to build relationships across multiple band levels.
Familiarity with American Express applications, including AmexMeet, WebEx, Concur Expense Management, Ariba Buyer, MyHR, Payroll, CareerTrack, and the IT Service Catalog (TechCare), preferred.
Flexible schedule preferred, as our Digital Labs colleagues are based in the UK and the US (East & West Coast).

Minimum Qualifications
Salary Range: $24.05 to $48.10 hourly + bonus + benefits
