We are partnering with our client to assist with their search for an Administrative Coordinator. Our client is an independent, national nonprofit dedicated to transforming the lives of children and families struggling with mental health and learning disorders. They work to deliver the highest standards of care, advance the science of the developing brain, and empower parents, professionals, and policymakers to support children when and where they need it most.
This position reports directly to the Managing Director and is responsible for supporting the Managing Director and Leadership Team through various tasks related to organization and communication and will be responsible for confidential and time sensitive material. The successful candidate will closely collaborate with and learn from the Program Operations Manager. The successful candidate will gain hands-on experience and an in-depth knowledge of what it takes to launch and expand a global program.
Responsibilities:
- Serve as the Administrative Coordinator for the Managing Director and the Leadership Team as a whole
- Other duties as assigned
- Handle sensitive information in a confidential manner
- Organize, prepare for, and set up virtual and in-person meetings
- Organize and maintain the Managing Director and Leadership Team’s calendars and contact lists in collaboration with other administrators
- Produce and distribute correspondence memos, letters, and forms as necessary and carry out administrative duties such as ordering supplies, filing, copying, printing, binding, scanning, etc.
- Work with the legal counsel, human resources, and finance to process contracts
- Support the Leadership Team in arranging site visits, program convenings, and other activities related to the program’s implementation and submit and reconcile expense reports, reimbursements, and invoices
- Coordinate and arrange travel for leadership and team members
- Work with the Managing Director and Leadership to coordinate with external collaborators around the world, as well as at other departments, programs, and initiatives within
- Work with the Managing Director, Leadership Team, and Program Operations Manager to document project activities, milestones, and deliverables to produce quarterly program progress reports
Qualifications:
- Excellent time management skills with the ability to multi-task required; must be able to reply to urgent requests and shift priorities for different time zones
- Excellent computer skills and knowledge of Microsoft systems
- Knowledge of office management systems and procedures
- Excellent interpersonal skills and cultural sensitivity
- Bachelor’s Degree and a minimum of 5 years of experience; or equivalent combination
- Attention to detail and problem-solving skills
- Strong organizational and planning skills
- Proven administrative experience
- Excellent written and verbal communication skills
The anticipated salary range for this position is $51,500 - $64,000annually. Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications, and geography.
