The Executive Personal Assistant to the CEO will have unique opportunities and a wide range of responsibilities in confidentially managing the personal affairs of the CEO and his family. Reporting to the company Chief of Staff and working with office-based Executive Assistants, this position will manage the house staff of a 10,000-square-foot estate in the beautiful Las Olas area of Fort Lauderdale. What You'll Do
· Manage the house staff (estate manager, boat captain, nanny, and housekeeper), including scheduling and reviewing performance.
· Maintain personal insurance policies (medical, home, vehicle, valuables), vehicle registrations, subscriptions, memberships, financial accounts, passport renewals, and credit card expirations for all family members.
· Collaborate with the CEO to create unique, memorable, and exclusive travel experiences.
· Plan all travel, including flights, aircraft management, hotels, activity and dinner reservations, international travel authorizations and visas, meal delivery, and transportation (collaborating with office-based Executive Assistant). This includes triple-checking ALL travel plans with hotels, plane managers, etc.
· Plan all personal events, including catering, décor, invites, RSVPs, and other event-planning details.
· Travel in advance of CEO on certain trips to ensure all details are covered prior to CEO touching down.
· Arrange event tickets, including distributing tickets to guests and downloading CEO’s tickets into his mobile-device wallet.
· Work with CEO’s family to meet their needs (e.g., flights for children to come home, school-related tasks, personal appointments, etc.
· Coordinate with Estate Manager to ensure location and scheduling of cars and boats.
· Work with vendors (salespeople, insurance, etc.) to complete acquisitions of vehicles, houses, boats, jewelry, etc., coordinating payments with office-based Executive Assistants.
· Manage household maintenance and service requests (pest control, lawn maintenance, pool maintenance, etc.) through Estate Manager.
· Maintain household inventory of toiletries, grocery items and cleaning supplies.
· Collaborate with the CEO on a gifting program (both personal and professional), including inventory, finding unique gifts, wrapping, tracking, purchasing, and sending.
· Coordinate services for move management and ground transportation to ensure easy family transitions between residences when necessary.
· Work with company Events Department to manage all aspects of CEO events.
· Use the utmost discretion to protect the privacy of the CEO and his family.
· Coordinate with medical professionals on the CEO’s medical conditions when necessary.
Requirements
Education, Work-Experience, and Other Requirements
· Bachelor’s degree
· 5-plus years of experience in a private/formal home administrative environment
· 7 years of experience as a personal assistant
· Ability to work in an environment with young children and two dogs
· Availability for moderate travel
· Willingness to maintain clean background and drug screenings, keep a clean driving record, and sign a confidentiality agreement
· Ability to work independently and work extended hours as needed
· Authorization to work in the United States
