Job Description
Job Title: Administrative Assistant - Tax and Treasury Operations
Location: 13995 Pasteur Blvd. Palm Beach Gardens FL 33418
Duration: 24 Months
Summary
This position will provide you with the unique opportunity to work with multiple corporate functions, across Tax, Treasury, Finance, and legal. In this role, you will support administrative and financial support activities using world-class management systems and tools. This position is also responsible for the management of the Tax and Treasury procurement activities as a super-user. This is as excellent opportunity for a highly organized individual to support a diverse executive team in our world headquarters based in Palm Beach Gardens, FL.
Responsibilities
  • Maintain schedules for meetings and conferences as well as adjusting based on dynamic priorities.
  • Consolidate reports and materials for meetings.
  • Process payments to vendors and assist with departmental budget tracking.
  • Interface with all levels of the organization and with external customers in a professional and effective manner
  • Manage logistical arrangements for leadership meetings to ensure seamless execution.
  • Assist with preparing power point presentations for team meetings.
  • Other administrative support and special projects
  • Schedule domestic and international travel arrangements, complete detailed meetings and travel itineraries and monitor and complete expense reports in a timely manner.
  • Work with cross-functional teams to execute special transactions.
Education / Certifications
  • Bachelor's degree preferred.
  • Associate degree minimum
  • Technical/Business School Certificate or Diploma, Skilled Trades Apprenticeship, or other post high school training (two years duration) with minimum of 7 years of experience considered.
Experience/Qualifications
  • Outstanding communication skills at all levels of the organization including senior leadership.
  • Must be self-motivated and can exercise initiative and work independently.
  • Experience coordinating company or customer events with senior level customers.
  • 5+ years of administrative experience at a senior level in a large, corporate environment
  • Ability to handle confidential information and work in a fast-paced environment.
  • SAP Ariba and eBanking system experience preferred.
  • Advanced computer skills in Microsoft Office suite including Outlook, PowerPoint, Word, and Excel
  • Attention to detail is a must.
  • Able to multi-task on a variety of assignments
  • Flexible and adaptable in dealing with changing priorities and tasks.
