Summary:


Our EAs are viewed as strategic partners who enable our teams to deliver gold standard work to our clients. In addition to providing administrative leadership for the PEPI practice, the EA will also be responsible for planning, coordinating, and executing special projects and events. The candidate should be motivated, resourceful, organized, poised, and able to operate independently with strong attention to detail.


RESPONSIBILITIES:


Practice Support


  • Additional duties as assigned.
  • Review sensitive files and project specific assistance.
  • Effectively interface with employees from other business units within A&M and senior executives both inside and outside the company.
  • Coordinate internal and external meetings including but not limited to team meetings, full staff meetings, all hands meetings, off-site meetings, one-on-one meetings, etc. (in person or virtual room set up, meal / gift ordering, etc.)
  • Provide daily administrative support to PEPI Managing Directors including but not limited to: processing time and expense reports, drafting and editing correspondence and presentations, scheduling appointments, maintaining calendars, travel arrangements.


Project Administration Support to Managing Directors


  • Vendor and subcontractor invoice management and tracking
  • Client invoicing
  • Project code invoicing
  • Conflict memo and project code creation


MUST HAVE:


  • Proven ability to manage projects, work under pressure with minimal direction and consistently make deadlines.
  • 5+ years Executive Assistant / Business Operations Experience
  • Demonstrated ability and willingness to continuously acquire new competencies and accept new challenges.
  • Flexibility to work additional hours as required.
  • Excellent computer and calendaring skills to include a working knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Concur, SharePoint, Box.
  • Bachelor’s Degree preferred in relevant field of study or equivalent experience (Degree in business-related field a plus).
  • Ability to ensure communications are clear, thorough, and specific, with attention to follow-through and confidentiality.
  • Outstanding interpersonal and relationship management skills: ability to support multiple executives with varied working styles.
  • Ability to work independently, as well as on teams, in a fast-paced environment.
