Executive Assistant
The Opportunity:
We are seeking a detail-oriented, organized and motivated Senior Executive Assistant to support our executive team. From calendar management and travel coordination to planning meetings and team events, you will ensure the leadership team makes their time in the most effective and impactful way possible. Additionally, you will support internal projects, processes, and strategic initiatives as they align with our executives’ objectives. You will often be an ambassador of the firm, acting as the main interface with clients and external partners. The ideal candidate has experience working in a fast-paced, high-growth environment and can maintain order in an ambiguous and ever-changing workplace.

What You’ll Do:
- Communication support, such as writing and editing e-mails on behalf of the Partner
- Support with research, note-taking, content creation, and other ad hoc projects for the Partners
- Coordinate complicated travel itineraries and logistics, including support and availability around last-minute plan changes.
- Gathering needed materials and relevant information for all meetings, events, and travel and provide to Partners with proper time to prepare
- Track and complete expense reports and reimbursements for the executive team
- Update on the status of requests and projects with a regular and dependable cadence to leadership, helping to drive the completion of critical deliverables by following up on outstanding items
- West Coast backup support before the start of business on the West Coast, when the team is traveling on the East Coast, and when other Executive Administrator is out of the office
- Strategically manage calendar for Partners and deal teams scheduling and coordinating meetings (to include board meetings, demos, broad team meetings with multiple internal calendars involved, etc.), conference calls, and other events with proper prioritization and ability to make changes as more significant needs arise
- Execute critical projects, including furthering firm strategic goals and planning and coordinating events.
- Timely, clear, and accurate relationship management for the Partners, both internally and externally, reflecting positively on firm
- Use of scheduling tools to manage team schedules across time zones
- Organize, execute, and assist with team/portfolio activities and meetings related to the responsibilities of the Partners, overseeing all logistics, including budget tracking and vendor relations.

- Bachelor's Degree or equivalent
- Positive and approachable personality
- Experience in a venture capital, investment firm, start-up or professional environment
- 5+ years of supporting a senior executive
