Job Description
Mission-driven, law firm focused on providing immigration legal services is looking for an Executive Assistant/Ops Manager to support their Founder who is also their Managing Attorney. After being a part of a well-known law firm for over 10 years, the Founder decided to start his own firm continuing to help immigrants navigate through a complex system and he also recently co-authored a book! In this role, you will wear many hats to support the Founder from calendar management, inbox management, travel coordination, data management, and communications with both internal and external stakeholders. This executive has never had a dedicated EA and is looking for someone to come in with best practices and systems to teach him how to best leverage their assistance. Someone who will take initiative and be proactive to implement organizational tools to ensure the Executive is staying on top of his leadership and management priorities and other projects such as administering company benefits, etc. There will also be light personal support to ensure his professional and personal calendars are in alignment, personal appointments are scheduled, and family activities are recorded. This is a fully remote role, the Founder is based in SF Bay Area. 100-120K DOE + benefits reimbursement, performance based bonus, & flexible PTO!


Responsibilities


  • Manage busy email inbox and provide meeting support.
  • Maintain confidentiality and protect operations by having a high level of discretion.
  • Facilitate communication between appropriate stakeholders at all different levels.
  • Help build processes and implement organizational tools surrounding vendors, social media, and payroll.
  • Coordinate and manage domestic and international travel schedules as needed.
  • Anticipate the needs of the Founder. Plan ahead and be resourceful.
  • Manage Founder's complex and busy calendar. Proactively optimizing the calendar to ensure time is being leveraged and spent effectively and efficiently.
  • Prioritize and resolve conflicting needs with little to no guidance.
  • Assist with light personal tasks as needed.


Qualifications


  • Comfortable managing up when needed.
  • Proactive, flexible, and able to take initiative as needed. You are able to do the research, come up with ideas and coincidentally make decisions.
  • Ability to bring a framework to the role in terms of organizational processes.
  • High EQ.
  • Legal background is a plus.
  • Tech-savvy and ability to learn new tools quickly.
  • Work well under pressure in a fast-paced time-sensitive, ever-changing environment. Ability to switch gears and adapt to changes as priorities pivot.
  • Excellent verbal and communication skills.
  • Great attention to detail and organizational skills.
  • Previous experience supporting a C-level executive in a fast-paced environment.
