Job Description
What we are looking for


We are looking for a dedicated and passionate Executive Administrative Assistant to ensure comprehensive and effective administrative support for the Executive Leadership Team, Department Heads, Managers, and Supervisors. In this role, the Executive Administrative Assistant will perform a wide range of administrative and office support activities to facilitate the efficient operation of the AscellaHealth office. To be a successful Executive Administrative Assistant at AscellaHealth you should have a pleasant personality, be extremely organized, and be comfortable multi-tasking. You should also be able to proactively problem solve to deal with urgent situations in a timely and effective manner and be willing to learn and grow within the organization. This position is based in Berwyn, PA, and requires 5 days per week in the office with a schedule of 8:30 am – 5:00 pm Monday through Friday.


What the position will be doing


  • Prepare, modify, and distribute email and other correspondence including reports, memos, forms, and faxes as requested.
  • Perform general clerical duties including photocopying, faxing, scanning, and mailing.
  • Perform other related duties as assigned or as necessary; remain flexible and adaptable in work schedules and work assignments as defined by departmental and organizational needs.
  • Coordinate travel arrangements (providing scheduling options) including air reservations, hotel reservations, and car rental reservations for assigned executive(s) and any other AscellaHealth travelers.
  • Create and modify PowerPoint, Word, and Excel documents as requested.
  • Maintain electronic and hard copy filing system and retrieve documents quickly and efficiently upon request.
  • Prepare agendas for meetings and record, compile, transcribe, and distribute minutes of meetings as requested.
  • Maintain the calendars for assigned executive(s) including resolving scheduling conflicts, prioritizing calendar events, and communicating urgent requests or changes to the appropriate parties.
  • Schedule and coordinate internal meetings for assigned executive(s).
  • Perform other miscellaneous office, administrative, and sales support tasks as directed.
  • Advise assigned executive(s) of their daily schedule, and work closely with them to ensure effective and timely follow-up.
  • Provide backup support/coverage for other members of the administrative team when needed.
  • Organizes meetings with clients and C-suite level executives including lunches, dinners (as needed) and occasionally client requests for assistance when visiting the corporate office.
  • Build relationships and liaise with all staff as needed to ensure a smooth working relationship with the Executive Office so necessary arrangements/information is shared.


Necessary Skills, Education & Abilities


  • Advanced PowerPoint skills are mandatory including building sophisticated presentations using animations, slide templating, and image creation.
  • Able to communicate in multiple mediums with all levels within an organization and with clients and customers.
  • Ability to thrive in a fast-paced environment with constantly changing priorities.
  • At least six (6) years of overall professional administrative support experience.
  • Associate’s degree, or higher, preferred.
  • Able to be highly transparent, ethical, and driven. Relentless attention to detail, and able to be a creative self-starter and team player.
  • Must have advanced computer skills, including Outlook, Word, Excel, and virtual collaboration technologies, like Teams and GoTo Meeting.
  • Excellent analytical skills and the ability to provide solutions to complex problems.
  • Excellent written and verbal communication skills, and interpersonal skills required.
  • Ability to be flexible and adapt to changing processes and procedures.
  • At least five (5) years of experience in Executive Office support.
  • Ability to think and act independently, formulate, and support new ideas, and champion new initiatives within and beyond the scope of own responsibilities.
