Job Description
Are you an excellent planner and organizer? We’re hiring an executive assistant to provide administrative support to the team lead and help us achieve our organizational goals. Your role is key to ensuring plans are made, schedules are set, meetings happen on time, and files are neatly organized and up-to-date. Responsibilities:Organize incoming information such as phone calls, voicemail messages, emails, and memos and report details to an executive Help prepare meetings and take detailed minutes Act as the main point of contact the high-level executive Make sure basic bookkeeping duties are completed in a timely manner Manage office duties such as organizing filing systems and ordering office equipment and supplies Drive process creation for key CEO / EA processesMaintain Calendar and Scheduling for CEO - GatekeeperManage Email Inbox for the CEOLead Special ProjectsHelping CEO Prepare for MeetingsProactively Evaluate and Manage the needs of the CEOOffice Management - Maintain office supplies (paper goods, printer ink, coffee, etc), manage cleaning service, organize and distribute mail, sort company mail - followup as needed, and other things that arise in office managementHelping the CEO stay on his important habits and tasksEnsuring the CEO is working on the most important priorities at all times w/ a clear schedule to accomplish them.Helping the CEO identify opportunities to delegate things to other team members proactivelyAccompany CEO on key meetings and occasionally be in place of CEO on meetingsAnd other responsibilities as neededQualifications:Familiar with Microsoft Office Must have graduated high school or received an equivalent certificate of completion Experience handling confidential information and adhering to strict deadlines 2 or more years as an assistant, executive assistant, or in a position performing supportive duties Impeccable time management skills, organizational skills, interpersonal skills, and communication skills Great at working with a teamExperience supporting a high-level executive.Possession of exceptional organizational skills and strong attention to detail.Superior written and verbal communication skills.Able to maintain a high degree of confidentiality in all situationsProficient in Google products, AsanaAbility to organize a priority-based daily workloadAble to meet deadlines in a fast-paced, quickly changing environmentA proactive approach to problem-solving with strong decision-making skillsAbout Company
