Job Title: Administrative Assistant
Work schedule: Monday - Friday, 8:45 am - 5:00 pm; occasional adjusted or additional hours
Start: Mid-September
Location: Onsite in Boston
Rate: $20.8/hour – $22.88
Contract: at least 6 months, most likely for 12 months
Position Overview
We are seeking an experienced Administrative Assistant to provide support to one or more members of the Technology Division leadership team. The ideal candidate will have a proven track record of successful administrative support, exceptional organizational skills, and a keen attention to detail. This role requires a proactive and adaptable individual who can effectively manage a wide range of administrative tasks in a fast-paced and creative environment.
Key Responsibilities
  • Manage calendars, coordinating and scheduling meetings while addressing conflicts proactively and in real-time. Identify and reserve appropriate meeting space.
Must be proficient with Scheduling and calendar management, they do not have time to train someone on how to use a schedule
  • Support leadership with tasks to improve organizational effectiveness and advance divisional strategic goals.
  • Prepare meeting agendas, assemble necessary materials, and ensure the seamless execution of meetings. Take and distribute accurate meeting minutes when needed.
  • Serve as a member of the Budget and Operations team to support division budget activities and operations. Act as backup to the Budget and Ops manager.
  • Provide other administrative and operational support as assigned.

  • Anticipate potential challenges for leadership and apply problem-solving techniques when appropriate.
  • Interact professionally and effectively with internal and external stakeholders, including faculty, staff, and students.
  • Assist in planning and executing departmental workshops and events, including coordinating logistics and preparing materials.
Qualifications
  • 3-5 years of relevant administrative support experience, preferably in a higher education or academic setting.
  • Excellent written and verbal communication skills.
  • Bachelor's degree preferred.
  • Strong problem-solving skills and a proactive and resourceful approach to tasks.
  • Professional demeanor and strong interpersonal skills.
  • Flexibility to adapt to changing priorities and deadlines.
  • Familiarity with Zoom and Slack or similar communication tools.
  • Proficiency in Google Workspace and Microsoft Office Suite.
  • Strong organizational and multitasking abilities with meticulous attention to detail.
  • Constantly using Slack- must be very good on Slack
  • Demonstrated ability to work both independently and collaboratively within a team.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
