Summary: The Administrative Assistant will ensure the effective management of data within the Center for Professional Development including managing documentation, maintaining databases, and ensuring flow of trainings/workshops is smooth for all parties.


Schedule


Monday-Friday 8am-4pm


Essential Duties And Responsibilities


  • Attend workshops as requested, ensure preparation of materials for workshops and complete close out and follow-up reporting of workshops.
  • Assist with reception desk coverage as requested.
  • Participate in the updating and maintenance of the training database and related web-site needs; eAcademy, Raiser's Edge, and Constant Contact.
  • Provide general administrative support to the Training and HR Departments, including (but not limited to): preparation of training materials including document preparation for trainings and seminars, (printing, scanning, mailing filing), data entry, create/maintain/submit on-going reports, track certifications and payments to vendors, etc.
  • Other duties as assigned.
  • Communicate with employees, seminar registrants and community members to answer questions about upcoming trainings.


Required Education/Experience


  • Minimum of a High School diploma required.
  • Experience working in an office setting and human service organization(s) preferred.


Required Knowledge/Skills


  • Event coordination experience is a plus, as is familiarity with training/Learning Management Systems.
  • Competent in technology to include the ability to coordinate entry into a data management system and use Microsoft Office products proficiently.
  • Ability to multi-task, problem solve and maintain a high level of organization.
  • Strong writing skills and verbal communication skills.
  • Ability to travel occasionally to offsite locations.


Physical Demands


  • Must have a normal range of eyesight with or without corrective lenses.
  • The employee must be able to drive a vehicle.
  • While performing the duties of this job, employee is frequently required to climb stairs.
  • Must have a normal range of hearing with or without corrective equipment.
