Job Description
Eden develops technology to address the current challenges across resource extraction industries with novel and groundbreaking ideas that reduce costs and environmental effects of current reservoir stimulation practices. Our goal is to offer a sustainable solution that reduces or eliminates water use, underground water contamination, wastewater production, air pollution, and induced seismicity associated with current hydraulic fracturing methods. To date, the company has secured funding from National Science Foundation, MIT, MassCEC, ARPA-E, Ameren and other VC and industry investors.


We are looking for a full-time administrative assistant to maintain and organize company documents, handle purchasing and invoicing, assist with routine documentation. Below are the list of roles & responsibilities, qualifications, and skills. Roles & Responsibilities:


  • Write and edit company communication documents from letters to reports and instructional documents
  • Prepare and monitor purchasing requests, shipping, and invoicing
  • Maintain and organize company tax related information and documents
  • Help implement new programs, procedures, methods, and systems for document organization
  • Take meeting minutes as needed
  • Maintain and organize company expenses documents and receipts
  • Act as a point of contact for external clients and partners such as: taking calls, receiving emails and letters, and scheduling meetings
  • Manage travel arrangements for the team such as booking flights, cars, hotels, and restaurant reservations
  • Manage Accounts Payable and Accounts Receivable
  • Perform hiring and onboarding paperwork, and oversee payroll and reimbursements through Gusto
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Place orders for office or laboratory supplies
  • Maintain records of employee timesheet, vacation and out of office days
  • Assist with proposal submissions


Requirements


Education & training:


  • BS in business administration or similar


Required Experience and Expertise:


  • Experience with Accounts Payable, Accounts Receivable is required
  • Proficient in MS Office Suite
  • Minimum 5 years of experience in administrative assistant roles is required


Preferred qualifications and competencies:


  • Some knowledge of renewable energy industries is preferred
  • Attention to detail and problem-solving skills
  • Experience in QuickBooks, payroll (Gusto), employee benefits, and corporate taxes
  • Administrative writing skills
